Roles & Responsibilities

Job Description

  • Perform full spectrum of administrative tasks to the Director.
  • Overseeing day-to-day office admin operations including handling emails, incoming phone calls, and clients' inquiries.
  • Maintaining the documentation accurate and up-to-date records.
  • Ensure a clean and organized office environment.
  • Update the Admin policy and ensure effective communication within the Organization.
  • Identifying and negotiating with vendors for office supplies and services.
  • Coordinating and managing projects as assigned by Management.
  • Managing facilities including office space, equipment, and supplies.
  • Handle IT infrastructure such as overseeing and maintaining records of office IT equipment and systems.
  • Organize, store, and file correspondence, documents, and computer-based information.
  • Assist HR in registering Bio-Metrics facial scanner including onboarding and exit process.
  • Handling administrative aspects of HR such as employee records and attendance records.
  • Responsible for verifying E-timesheet / E-Leave for Drivers and updating the system accurately weekly.
  • Monitoring and assisting with Finance in recording expenses.
  • Provide administration support to all the departments, and set up the meeting room as per employee’s request if required.
  • Keep a good record of leasing documents and filing
  • Assist in scheduling and coordinating meetings and appointments.
  • Arrange and make travel and hotel accommodation arrangements.
  • Leading event planning, communicating to stakeholders, and keeping to deadlines & budgets.
  • Responsible for overseeing event operations, co-ordinate event requirements with various partners, and attending to stakeholders' queries.
  • Organizing, conceptualizing, and executing all event details such as decoration, catering, entertainment, transportation, partnership outreach, location, invitee list, special guests, equipment, and promotional material.
  • Other ad-hoc duties assigned by the immediate superior / Management.
