Brief Description

The Admin Executive is a generalist role providing corporate administration and HR for both centers in PAVE. Reporting to the Head of Admin., this role will provide general office administration for both centers and support the HR and Admin divisions where relevant.

Job Responsibilities

The job responsibilities for this position include:

1. Office Management

Manage and oversee the administration of the PAVE centres including

  • Coordinate maintenance and servicing for office facilities, including air conditioning, pest control, carpet shampooing, and chair upholstery for both offices.
  • Maintain an efficient record-keeping and information retrieval process
  • Liaise with the Town Council and all external vendors
  • Oversee day-to-day office operations and the upkeep of office facilities and assets.
  • Liaise with relevant authorities regarding special circumstances, in the event that they happen e.g. Covid19
  • Ensure that Internal Review Guidlelines are followe

2. Procurement

  • Manage the yearly renewal of office-related services and contracts.
  • Procure office supplies, equipment, and services as needed for ad-hoc purchases

3. Administrative Support

  • Answer and direct phone calls and attend to walk-in visitors in a professional manner.
  • Manage incoming and outgoing mail and packages efficiently.
  • Respond promptly to administrative emails to address queries and requests.
  • Prepare refreshments for meetings and ensure meeting essentials are available.

4. HR

Assists HR Officer in:

  • Posting job advertisements
  • Retrieving and screening resumes
  • Scheduling and coordinating interviews
  • Assisting with pre-employment check-up and reference checks
  • Maintaining candidate (selected for interviews) database

5. Others

  • Maintain and update the office and staff asset list, ensuring proper tracking of office equipment.
  • Liaise with IT vendors to provide day-to-day technical support
  • Perform any other administrative duties as assigned by your reporting officer, including supporting special projects or office events.
  • Assist with refreshments during meetings.

Requirements

To be successful in this position, the person must have:

  • At least 3-5 years of experience in administration and facilities management
  • A team player and able to foster collaboration amongst employees
  • Self-driven and results-oriented
  • Strong organizational skills to plan and execute
  • Strong IT software skills. Word, excel, powerpoint
