Executive - General Office

- Managing schedules, filter incoming requests, ensuring day-to-day is organized, helping executives to stay focused, important tasks are being prioritized and essential tasks are being taken care of. Setting up regular weekly meetings to keep leaders updated and team in alignment.
- Compiling expense reports to ensure business expenses incurred are reimbursed on time, and properly tracked to gain insights on business activities and identify areas or time where they may need to cut costs or adjust budget.
- Making travel arrangements, maintaining records and documents validity, coordinating with departments and local teams to ensure that intended activities are carried out smoothly within period given and obeyed to company policy.
- Sit through meeting, outline meeting agenda, taking meeting notes, documenting important details and updates as reference for leaders to make informed decisions. Highlighting action items and deadlines, follow up with deliverables.
- Checking and responding to emails, managing information flow with internal and external parties, ensure timely response.
- Assist with projects and other duties as assigned, including supporting other departments or executives as needed. Adhoc duties such arranging letter or package mailing, procure gifts for business partner/client, dining reservation. Arranging refreshments and meals for events/board meeting. Remote gate keeper. Receiving guests and providing basic hospitality.
- Undertake any other ad-hoc assigned tasks as required.
Requirements:
- Bachelor's degree and equivalent experience
- Ability to communicate with people of all levels both internally and externally
- Time management skill.
