Corporate Secretarial Assistant

Job Description
Assist corporate secretary in providing tip top service to clients.
1) Draft and complete corporate secretarial documents for clients, such as director and shareholder resolutions, director and shareholder registers, minutes of meeting, investment agreements, bank account opening.
2) Gather and file required supporting documents in an orderly manner, especially documents required for Know Your Customer due diligence checks.
3) Maintain client files to ensure all registers, certificates, minutes of meeting, KYC and other documents are in order and filed properly.
4) Keep track of all regulatory (e.g. ACRA, MAS) datelines and requirements to ensure companies are in compliance.
5) Assist clients in completing administrative investment documents.
6) Assist company directors in administrative (HR, tax, Singpass etc) matters of related companies.
Staff may be required to work in client offices (within Singapore) from time to time. Due to the urgent nature of certain documents, staff may also be required to personally deliver documents to the relevant parties for signoff and submission.
As we are a small firm, light administrative personal assistant duties may be required from time to time.

a) Loves administrative tasks, some of which may be repetitive
b) Self starter, able to work independently with minimal supervision to take tasks from start to completion.
c) Takes the initiative to get what needs to be done completed
d) Conscientious and careful to ensure zero errors in documents provided to clients
e) Able to keep track of datelines and ensure clients' compliance to regulatory datelines and guidelines
