We invite suitable candidates to apply for the Student Administration, Senior Executive role with our Academics Office to provide support to the Academic team on all undergraduate matters.
This role is required to work closely with the Associate Dean (Undergraduate Education) and colleagues from the Student & Academic Studies Department. Together with the Academic Planning Manager, you will support the school's undergraduate team on all undergraduate matters (Programme, courses, logistics and administration etc) to enhance students' experience with proper and efficient delivery of services to all stakeholders.
Job Responsibilities:
Course Administration, Timetabling and Registration
- Perform completeness checks on proposals submitted for new programmes and for request for change of curriculum by Faculty.
- Administer and ensure fair distribution of teaching assignments for academic faculty, teaching assistants and postgraduates for undergraduate courses offered in the semester.
- Oversee course registration and ensure that the process has been conducted in accordance to the university's and school's policies, guidelines and deadlines
- Check and ensure that all students have successfully registered for their required course after the course registration exercise.
- Liaise with faculty members, undergraduate coordinators of other schools and Central Administration in the planning of examination schedules and ensuring no clashes.
- Ensure all examination matters are administered in line with the university's policies.
- Coordinate and facilitate the examination results appeal and review process and update student(s) timely on the decision.
- Work with academic studies unit in other school for second major student course registrations
- Timely reporting of deviations to current policy requirements and guidelines and propose/initiate rectification actions.
- Review and recommend opportunities for process alignment or enhancement for the school's Undergraduate Department using university wide policies and guidelines as a reference.
- Prepare, provide, submit and maintain various types of reports and statistical information as required.
Job Requirements:
- Min. a Degree or with 3 years of relevant experience, preferably in an educational institution.
- IT savvy, proficient in MS Office applications and database management systems
- Meticulous and organized, with the ability to multi-task.
- Proactive, analytical, and resourceful.
- Ability to work in a team.
- Excellent interpersonal and communication (oral and written) skills.
- Good sense of initiative and responsibility and positive working attitude
- Ability to manage stressful situations.
