Main Responsibilities

1. Order Fulfillment Management
a) Manage Stock Transport Order (STO) to Distribution Company and Purchase Order (PO) for Direct Customers

  • Prepare and process Replenishment Transfer/STO/PO orders in line with the respective markets forecasts and adherence to inventory guidelines
  • Liaise with various internal parties for supply and pricing issues
  • Validate sales prices accuracy and ensure the new pricing is updated in SAP timely
  • Enter purchase orders in SAP, create outbound delivery and follow up with 3rd party logistics service providers for issues related to logistics operations / delivery planning
  • Ensure Post Goods Issues (PGI) and Invoicing are processed correctly in SAP
  • Create Outbound Shipment in SAP to capture shipment costs
  • Check vessel sailing schedules and book vessels with 3rd party logistics
  • Prepare and calculate airfreight cost by comparing three carriers' rate
  • Coordinate with POSM planners for the shipments / delivery of POSM to customers
b) Customer Services and Logistics Operations

  • Plan export consolidation, freight optimization and shipment timelines
  • Maintain high level of customer service including advance advice of shipping information, completeness of shipping documentation, prompt response to customer requests and monitoring of the progress of meeting markets' demands
  • Compliance in terms of export, governmental regulations, documentations / procedures and customers' requirements
  • Ensure compliance is adhered by internal/external stakeholders and Internal Controller approval is obtained for any deviations from the standard procedures
  • Coordination with the various local parties (e.g. customs and government agencies, shipping lines, warehouse operators, forwarders, Maison) to meet the relevant requirements for smooth and prompt documentation and operations

2. Inventory Systems & Software

  • Apply/maintain accurate stock data and selling and purchase pricing database in SAP

3. Work Process

  • Monitor the progress and ensure continuity of workflows/processes and coordinate with Accounts and other internal departments in line with current procedures
  • Continuously analyze the current work processes and documentation, and propose realistic improvements

4. Other Operations

  • Attend and supervise related field operations (e.g. surveys), and quality checks as required
  • Carry out administrative duties and adhoc duties as assigned from time to time

Key Selection Criteria

  • Holds a diploma or university degree in Supply Chain/ Logistics
  • At least 3 years of experience in Supply Chain
  • Dedicated, organized, hardworking & fast learner
  • Able to work accurately & timely with minimum supervision
  • Able to work under pressure within timelines given
  • Good interpersonal skills that foster good relationships with maisons, colleagues, external working partners and markets
  • Good command of English (written and spoken). Mandarin or other languages will be advantageous.
  • Has good knowledge of inventory operations, logistics procedures, freight forwarding, shipping documentation and trade documents and Singapore Customs regulations
  • Experienced in ERP software (SD/MM/SAP) and MS Office
