In this role you will provide administrative support and reception duties to the Singapore office.

Responsibilities

How you'll spend your time
Reception

  • Answer telephone calls, screen and direct to relevant/appropriate employees
  • Take down and relay messages
  • Take drinks order from visitors; prepare and serve drinks
  • Maintain the meeting room booking system
  • Maintain and tidy meeting rooms and reception area, including cleaning whiteboards and arranging chairs, switching off lights when rooms are not in use
  • Mails & deliveries: receive and sort incoming & sort/dispatch outgoing
  • Arrange courier services (e.g. DHL, UPS, local)
Office Support

  • Ensure timely updates of staff movements (e.g. Annual Leave, Compassionate and business travel) on Shared Outlook Calendar
  • Update and send out Weekly staff movement report for to all Asia Pacific employees
  • Systematically file documents and ensure proper maintenance for easy retrieval and reference including proper filing of T&E
  • Order stationery and ensure that there is adequate supplies in stock
  • Ensure that the printing room is neat and orderly
  • Maintain the printers and arrange for maintenance or toner replacement whenever required
  • Arrange for monthly shredding
  • Arrange for printing of envelopes and ensuring templates are according to brand guidelines and approvals have been obtained from head office for Singapore
  • Ensure pantry is stocked and arrange for delivery as necessary
  • Manage external cleaning contractors/handy man and ensuring that the office space is in good condition
Secretarial and Admin Duties

  • General administrative and clerical support to general office
  • Handle and coordinate travel arrangements (hotel/transport bookings) and prepare travel itineraries as required
  • Prepare and submit T&E claims as required
  • Schedule meetings and appointments as required, and main group mailbox
Marketing Support

  • Events & Premiums: sorting, preparing and packing premiums for events; sourcing, packing, labelling and arranging delivery of mooncakes, calendars, red packets, etc.
  • Prospectus(es) &

Sales Materials:
as required, pack, label and arrange delivery to distributors and Institutional clients

Working Relationships (not exhaustive):

External:

  • Hotel sales associates & Front Desk booking of hotel rooms for visitors
  • Chauffeurs for hotel/airport transfers and meetings
  • Stationery suppliers for office stationery
  • Photocopier supplier arrange servicing, repairs and maintenance
  • Aircon vendor for servicing, repairs and maintenance
  • Other vendors as required

Internal:

  • Admin Assistants in Asia Pacific, EMEA and North America
  • Colleagues in Asia Pacific offices
