The Admin and Procurement Executive will be a part of the professional team that serves to uphold proper procurement governance and provide support in the areas of procurement, administration, and information technology to the organization.

**Key Roles & Responsibilities

Procurement & Sourcing

  • Perform timely execution of procurement activities (sourcing, tendering, seeking purchasing approvals)
  • Conduct sourcing and market sensing activities
  • Draft procurement documents (ITQ, ITT, Submission Report, etc) for review
  • Ensure the whole purchase request to contract award is timely followed through
  • Prepare pricing summaries and cost analysis for relevant stakeholders and evaluation committee
  • Ensure proper documentation and approvals are obtained and filed in proper order
  • Issuance of Purchase Orders to suppliers and follow through on outstanding issues
  • Prepare monthly reports of outstanding Purchase Orders and follow up with respective divisions

Office Administration

  • Assist in ordering pantry and office supplies
  • Organize meetings and draft minutes
  • Assign and uphold Item Code records in the ERP system
  • Provide support in daytoday administrativerelated matters

Information Technology (IT)

_Undertake any other tasks or duties assigned by the Head, Administration & Procurement _

Requirements:

  • Diploma preferably in the field of procurement and supply chain management
years of experience in a similar capacity will be advantageous but not compulsory

  • Ability to read and understand the policies stipulated in the Procurement Manual and Financial Regulations
  • Good command of English (spoken and written to draft formal Admin & Procurement documents)
  • Proficient in Microsoft Office, particularly Excel & Words
  • A positive team player with good interpersonal and stakeholder management skills
