Roles & Responsibilities

We are looking for an experienced and dynamic Senior Administrative Executive to lead and oversee our Warehouse Admin Team. This pivotal role requires a strong leader with exceptional organizational skills, a proactive approach to process improvement, and the ability to manage team performance effectively. Candidates with a background in the logistics industry are highly preferred.Key Responsibilities:1. Leadership and Team Management
  • Provide strategic direction, mentorship, and support to the Warehouse Admin Team to ensure high performance and team alignment.
  • Set clear goals and objectives, conduct regular performance evaluations, and provide constructive feedback to team members.
  • Cultivate a collaborative and positive work environment that fosters accountability and teamwork.
  • Identify skill gaps within the team and implement targeted training programs to enhance productivity and efficiency.
2. Administrative Oversight
  • Manage and streamline administrative processes to ensure accuracy, efficiency, and timely delivery of tasks.
  • Oversee core administrative activities, including issuing Proforma Invoices, updating export schedules, handling shipping documentation, and maintaining meticulous filing systems.
  • Ensure all administrative functions adhere to company policies, procedures, and relevant regulatory requirements.
3. Workflow Management
  • Develop and optimize workflows for operational activities, such as deliveries, deployments, and customer service.
  • Analyze existing processes to identify inefficiencies and implement improvements for smoother operations.
  • Collaborate with internal stakeholders to align workflows with company objectives and goals.
4. Resource Planning and Allocation
  • Design and manage team schedules, task allocations, and resource utilization for maximum efficiency.
  • Anticipate operational peaks and coordinate additional resources to meet demands effectively.
  • Regularly review resource allocation strategies and recommend enhancements to improve team productivity.
5. Customer Service and Stakeholder Coordination
  • Serve as the primary liaison for customers to manage delivery schedules, provide updates, and address inquiries or complaints professionally and promptly.
  • Maintain strong relationships with clients to ensure satisfaction and promote long-term partnerships.
  • Act as the central point of contact for internal and external stakeholders on administrative matters.
  • Provide operational support by collaborating with other departments to achieve organizational goals.
6. General Duties
  • Handle any additional responsibilities as assigned to support the smooth functioning of the administrative team and overall operations.
Qualifications and Experience:
  • A Diploma in Business Administration, Logistics, or a related field.
  • Minimum 5 years of relevant experience, with at least 2 years in a leadership role.
  • Previous experience in the logistics industry is highly advantageous.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong communication skills in English and Mandarin, with the ability to interact effectively with a diverse client base and team members.
