About the Role:

We are seeking a detail-oriented and proactive Operations Executive/Manager to oversee the end-to-end operational processes of our chartering activities. The ideal candidate will be responsible for ensuring the smooth execution of voyages, maintaining compliance with contractual terms, and supporting the commercial team in optimizing operational efficiency. This role requires strong analytical skills, a keen understanding of maritime logistics, and the ability to coordinate with multiple stakeholders.


Key Responsibilities:


Voyage Execution & Operations:

  • Oversee the execution of charter parties and ensure compliance with agreed terms and conditions.
  • Monitor voyage performance, including tracking vessel schedules, cargo loading/unloading, and adherence to operational milestones.
  • Liaise with vessel owners, brokers, agents, and port authorities to ensure smooth operations and resolve any operational issues promptly.
  • Prepare and review laytime calculations, demurrage, and despatch claims.
  • Ensure timely and accurate issuance of voyage instructions and post-fixture documentation.

Operational Coordination & Communication:

  • Act as the primary point of contact for operational queries between internal teams, shipowners, and external stakeholders.
  • Coordinate with the finance team for freight payments, hire statements, and other financial documentation.
  • Ensure accurate and timely reporting of operational data and maintain internal systems for record-keeping.

Compliance & Documentation:

  • Ensure all operational activities comply with charter party terms, industry regulations, and company policies.
  • Maintain accurate records of all operational matters, including contracts, voyage details, and cost analyses.
  • Support the legal and compliance teams in managing claims, disputes, and risk mitigation.

Optimization & Analysis:

  • Identify opportunities for cost reduction and efficiency improvement in voyage operations.
  • Analyze voyage performance metrics and provide reports to management for informed decision-making.
  • Contribute to process improvement initiatives and support the implementation of new operational technologies.

Qualifications:

  • Diploma in Maritime Business, Shipping, Logistics, or a related field. Candidates with Higher Nitec in Services - Maritime Business or a related field and relevant experience will also be considered.
  • For Executive level: 2-4 years of relevant experience in chartering operations.
  • For Manager level: 5+ years of experience with proven leadership and decision-making abilities.
  • Strong understanding of charter party clauses, laytime calculations, freight invoicing and cost control.
  • Excellent communication and interpersonal skills with a problem-solving mindset.
  • Ability to work independently, manage time-sensitive operations effectively, prioritize tasks, and manage multiple deadlines.
  • Proficient in using shipping software and Microsoft Office suite (Excel, Word, Outlook).
  • Strong analytical skills and attention to detail.
