Job Summary:
We are seeking a highly organized and proactive Administrative Assistant to provide support to our team. The ideal candidate will handle a variety of administrative tasks, ensuring efficient daily operations and smooth workflow. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Provide comprehensive administrative support, including managing correspondence, scheduling meetings, and maintaining accurate records.
- Organize and maintain office files, databases, and documentation for efficient retrieval and reference.
- Handle procurement of office supplies and coordinate with vendors to ensure timely replenishment.
- Oversee office procurement processes and maintain strong relationships with suppliers.
- Process invoices, expense reimbursements, and assist with basic bookkeeping tasks to ensure accurate financial documentation.
- Support HR-related tasks such as recruitment coordination, onboarding, and employee record management.
- Serve as a primary point of contact for internal teams, facilitating smooth communication and coordination.
- Assist the Sales Manager in processing internal workflow orders, ensuring smooth execution and efficient order management.
- Perform other administrative duties and ad hoc tasks as assigned by management.
Requirements & Qualifications:
- Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.
- Proven experience as an Administrative Assistant, Office Administrator, or a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills in both Chinese and English.
- High level of accuracy and attention to detail.
- Ability to handle confidential information with professionalism and discretion.
- A proactive and problem-solving mindset with the ability to work independently and in a team.

- Experience in HR support and finance administration.
