Roles & Responsibilities

Administrative Support

1. Preparing reports, presentations, and meeting agendas.

2. Taking minutes in Chinese or English depending on location of meeting.

3. Financial analysis & run financial models.

4. Coordinating travel arrangements, flights, hotels, and transportation reservation.

5. Handle correspondences on behalf of MD.

6. Coordinating travel arrangements, including booking flights, hotels, and transportation.


Personal Management

1. Running personal errands (e.g., shopping, dropping off/picking up items).

2. Handling personal finances, budgeting & reimbursement claims.

4. Organizing and planning personal events & assisting in official events.


Professional Assistance

1. Liaise with departments/division to follow up on action items & update MD promptly.

2. Acting as the first point of contact for internal and external stakeholders.

3. Researching and gathering information as needed for projects & decision-making.

4. Managing special projects & tasks as assigned by MD.

5. Monitoring deadlines and ensuring timely completion of tasks.


Problem Solving

1. Anticipating MD's needs and proactively resolving issues.

2. Handling last-minute changes or emergencies with flexibility and discretion.

3. Ensuring confidentiality and discretion of MD & company's sensitive information.


Additional Responsibilities

1. Representing the employer at events or meetings when required.

2. Managing social media profiles or online presence, as and when required.

3. Overseeing MD's office & operations with a keen eye.


Requirements

Degree in Business/Finance/Economics/Marketing/Administration

Min 4 years experience serving higher management

Ability to work long term in 2 Asian countries

Resourceful, tech savvy and detail oriented

Professional, discreet and trusworthy

Positive attitude, responsible and reliable.
