Job Description

 

The College of Alice & Peter Tan is looking for a dynamic candidate to join us as Executive / Senior Executive to provide finance and administrative support for our residential college (RC). RC is a living and learning community of undergraduate students, where residents organise and participate in numerous curricular and co-curricular activities that contribute to their holistic development. This is a full-time position with a 2-year appointment in the first instance. The appointment is renewable and is intended to be long-term for the suitable candidate. A bachelor’s degree and relevant work experience are required.

 

Roles and Responsibilities

 

The main job scope is in assisting in finance processing, with the bulk of the transactions arising from student activities, and administering the financial support schemes in the College. While the actual finance processing is done centrally by the Office of Finance, RC is responsible for coordinating and collating the relevant supporting documents such as invoices, receipts and reimbursement forms, as well as providing advice and guidance to students and staff on the relevant finance processes and procedures. The candidate will work closely with the central Office of Finance, Office of Financial Aid and other relevant units. Further details are as follows:

 

  • [Accounts Payable] Prepare, receive and collate invoices and reimbursement forms from staff and students, and follow up on any necessary resolution of exceptions

 

  • [Accounts Receivable] Request for creation of invoices and customer records, manage collection of cash/cheques

 

  • [Expense Management System] Perform RC’s coordinator role for the SAP Concur system, including providing advice on cost allocation and WBS (and creating WBS where necessary), reviewing expense reports and checking attachments, and running query reports regularly to check if all expenses (especially those below $100 which are auto- approved) are charged correctly

 

  • [Procurement] Submit requests for creation/updating of vendors and POs, liaise with vendors and review open POs

 

  • [Budgeting and budget monitoring] Monitor and reconcile monthly financial report of operating budget and donor funds, and track expenditure by WBS and GL, with breakdown to various grants and activities

 

  • [POC] Serve as point of contact for clarifications and inputs for financial reviews, such as review of balance sheet GLs, debtors aging, dormant accounts, unutilized spending limits in endowed accounts

 

  • [Budget Advisory] Perform budget and expenditures review and advisory for College programmes, events and activities

 

  • [Other Finance] Carry out other duties such as conducting annual physical verification exercise, and assisting in filing of withholding tax for visitors, advisory on other grants and funds.

 

  • [Financial Aid] Administer the College Grant Scheme, publicity for the scheme, support the selection and shortlisting process, liaise with the NUS Office of Financial Aid (OFA) for candidates’ verification and fund disbursement.

 

  • [Scholarship] Administer the RC Scholarship, publicity for the scholarship, support the selection and shortlisting process, liaise with Provost’s Office for candidates’ offer and acceptance, collate and prepare donor report.

 

  • [Donor Report] Liaise with OFA to collate letters for bursary, prepare donor report for submission to Development Office

 

  • [Others] Ad-hoc tasks or projects will be assigned as and when required.

Qualifications

  • Proficient in MS Office applications such as Word, Excel and Power Point.
  • Meticulous with good attention to detail.
  • Adaptable with positive work attitude.
  • Able to work independently and a good team player.
  • Possess good communication and interpersonal skills.
  • Candidate with relevant working experience in finance would have an advantage.
