Job Description

We are looking for an Administrative Assistant to provide administrative support and ensure quick and efficient operation of our office. The successful candidate will be responsible for a variety of tasks including daily data entry works, scheduling appointments, managing calendars, handling correspondence, maintaining filing systems, and assisting with other administrative duties as needed.

Responsibilities:

  • General and daily data entry works assigned by Admin cum Accounting Manager and/or Director
  • Assist to organise and schedule meetings with all relevant personnel
  • Prepare all relevant paperwork/documents required and attend meetings with Director and Admin cum Accounting Manager
  • Plan meetings and take detailed meeting minutes for all meetings
  • Prepare and distribute corresponding memos to relevant team members
  • Attend to all incoming calls /messages from subcontractors promptly
  • Attend to and follow through all inquiries via email and/or any messaging platforms applicable
  • Update and maintain office policies and procedures
  • Ensure smooth day-to-day operation of the office
  • Provide day to day administrative / backend support to all personnel (eg. Director, Interior Designers, Managers, etc.)
  • Show initiative in providing ideas and solutions to improve workplace processes
  • Assist in any ad-hoc task that may be assigned

Requirements:

  • Conversational English and Chinese speaking and written skills
  • Singaporean / Singapore PR
  • Proven experience as an administrative assistant or relevant role
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and Google Drive (Google Sheets, Google Docs, Google Slides, etc.)
  • Excellent time management and organizational skills
  • Strong written and verbal communication skills
  • Attention to detail and problem-solving skills
  • Ability to multi-task and prioritize tasks effectively
  • High school diploma or equivalent additional qualification as an Administrative Assistant or Secretary will be a plus
