Responsibilities
  • Administration: review all incoming letters and ensure follow-up actions are taken, especially on complaints; vet and prepare all outgoing correspondence and minutes of meetings; prepare weekly/monthly meeting documents; input daily utilities consumption and relevant data to produce reports for the immediate superior.
  • Operational Matters: review, and if necessary, recommend and implement changes to operations procedures; set standards for non-maintenance matters (e.g., security guards and cleaners’ uniforms, management office, workplace security, cleaners’ store); review areas regularly to identify cost-saving measures without compromising on quality; set up a monitoring system to track repairs and replacements; monitor utilities consumption and take appropriate actions; follow up on matters after meetings; review procedures on fines for contraventions by contractors or tenants; set up inspection schedules for defects and term contract works; liaise with vendors, teams and tenants; arrange handling of emergencies (e.g., power failure, burst pipes, gas leaks); review and update House Rules & Site Supplement; attend meetings with clients/contractors and record minutes; prepare and submit documents to Building Construction Authority (BCA) or relevant authorities as needed; maintain records of warranties; conduct daily checks of common areas; conduct regular inspections with term contractors to ensure services meet standards; conduct daily checks on common property; inspect/supervise/test plumbing fittings; propose improvements and ensure approved works are carried out; monitor and report intrusions or unsafe practices; set procedures and contact numbers for emergencies.
  • Tenancy Management: coordinate tenant move-ins and move-outs; build positive relationships with co-workers, clients and tenants; respond to tenant needs and maintain high retention levels; liaise with tenants on repairs and maintenance works.
  • Energy Management: monitor utilities consumption and take corrective measures for irregularities; review and recommend cost-saving measures to reduce consumption.
  • Emergency Situations: lay down procedures and contract numbers for dealing with emergencies; ensure the OMS system is implemented and maintained in accordance with organizational standards.
  • Reporting & Budgeting: prepare accurate, timely reports including monthly performance and variance reports; prepare annual budgets and quarterly reforecasts related to operating expenditure; manage accounts payable for the property; prepare supporting documents for KPIs; respond to problems and ensure compliance with rules and regulations.
