Responsibilities
- Assist with daily administrative operations and general office management.
- Ensure the front desk and meeting rooms are clean, organized, and presentable at all times.
- Coordinate the procurement and maintenance of office supplies, including stationery, pantry items, copier machines, floral arrangements, and corporate gifts.
- Maintain postage records, franking machine credits, and arrange for courier and mail services.
- Manage office-wide calendars, conference room bookings, and audiovisual (AV) equipment usage.
- Organize and support logistics for internal events, meetings, festive celebrations, and lunch arrangements.
- Maintain records of complimentary parking tickets for guests.
- Assist management with submission of insurance claims when necessary.
- Draft and circulate internal email communications and announcements.
- Provide administrative backup support to the Chairman, CEO, and COO when required.
- Work with the Tea Lady to serve guests and assist during high-profile meetings or large in-house events.
- Provide general support to other departments as needed.
- Carry out ad-hoc administrative tasks as assigned.
- Manage reception duties professionally and courteously.
- Answer and direct incoming calls and emails appropriately.
- Handle visitor inquiries and ensure smooth call forwarding and message-taking.
- Maintain the meeting room booking system and assist staff in room reservations.
- Welcome and assist visitors; ensure meeting rooms are properly prepared and cleaned before and after use.
- Set up AV equipment for meetings and coordinate with IT support when needed.
- Minimum GCE “O” Level qualification.
- At least 3 years of experience in a front desk, administrative, or office support role.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Great interpersonal and communication skills
- Self-motivated, mature, and able to work independently as well as in a team.
- Prior experience in the real estate or service industry is a plus.
- Ability to converse in Mandarin is an advantage (to liaise with Mandarin-speaking guests and stakeholders).
