
Workplace Services Manager, SEA

Overview The incumbent will be based in BeOne Singapore Office and take care of overall Workplace Services in the office. The position will be required to be in the office 4 days a week, and on call, as needed. Responsibilities Admin and Daily Operations: Manage the smooth running of the office and all associated administrative tasks, supervise outsourcing Sales admin team; establish relationships with vendors to support office requirements; purchase office supplies and manage stock; maintain emergency contact lists; manage relationships with vendors and building management; procure equipment, furniture, and supplies; manage access cards, business cards, and name tags; update relevant internal pages; conduct vendor onboarding; process PR/PO for vendor payments and coordinate with Accounts Payable; share SEA office monthly costs with Manager; provide office induction, health and safety, and corporate card applications for new hires; negotiate contracts and pricing with vendors with Finance support; provide visitor support and manage on-site events; liaise with property management and real estate partners for new offices in SEA; ensure employee safety during natural disasters; support visitors and local office events; plan and procure in-house or off-site activities and meals; take attendance and arrange catering as requested; assist general managers and employees with inquiries. Stakeholders (SEA GM and other SEA country leaders) Support: Work with department directors to meet needs; attend monthly SEA Leadership team meetings; set up general call center service for primary response; handle Corporate Card applications and coordinate with Finance; perform other duties as assigned by General Manager. Commercial and R&D Team Support: Assist Commercial team to procure and manage fleet, housing, and other services; attend weekly Commercial Leader team meetings; support R&D visits and townhalls (logistics, conference room, vendor communications, attendance and catering); support media interviews (venue setup, hotel/venue contracts, payments, and on-site coordination). HR and IT Support: Assist HR with onboarding/terminations; update Organization chart; support HR requests and organize training όπου applicable; manage IT assets and Teams groups; ensure returned IT stocks are accounted for. EHS and People Management: Collaborate with EHS Director to provide local support and align with Global EHS standards; create and implement onsite services training; meet governance reporting needs and adapt to country requirements. Qualifications Bachelor’s degree preferred. 10+ years’ Workplace/Facilities Pharma experience. High level of customer service skills. Ability to lead and motivate a team; demonstrated leadership abilities; self-directed with ability to manage multiple initiatives. Strong organizational, verbal, and written communication skills; able to train individuals at various skill levels; strong policy interpretation and application. Collaborator committed to working in a quality environment. Fluency in English and Mandarin; other major languages beneficial. Travel: 10% SEA travel (as required).
