Overview

NXGEN is seeking a motivated and detail-focused Information Technology Project Coordinator to join our team. This role involves supporting the planning, coordination, and completion of IT projects while ensuring they stay on schedule, within budget, and aligned with defined goals. The right candidate excels at juggling multiple tasks, is highly organized, and performs well in a dynamic, team-driven environment.

Responsibilities
  • Support the Project Manager in preparing key project management documents, including budgets, schedules, scope statements, and project plans.
  • Independently manage small-scale IT projects from initiation to completion.
  • Organize and maintain comprehensive project documentation, such as contracts, drawings, reports, and meeting minutes, ensuring both physical and digital records are properly filed and archived.
  • Provide administrative support to project teams, including scheduling and documenting project meetings, arranging venues, and managing logistics.
  • Collaborate with project teams to gather metrics, consolidate status reports, and assist the Project Manager in regular project governance activities.
  • Serve as a liaison between internal and external stakeholders to ensure effective communication and client satisfaction.
  • Generate weekly resource utilization reports and assist in the coordination and allocation of project resources as needed.
  • Perform general administrative tasks, including data entry, printing, photocopying, and managing logistics. Monitor and replenish office and project-related supplies and equipment.
  • Prepare and submit routine operational documents such as Permit to Work (PTW) and Risk Assessments (RA).
  • Coordinate stakeholder meetings, take accurate notes, and prepare detailed reports.
  • Assist in invoice reconciliation, cost tracking, and ensuring purchase orders are processed in a timely manner.
Requirements
  • Diploma or degree in Information Technology, Project Management, or a related discipline.
  • Minimum of 2 years of relevant experience, with a strong track record in client engagement preferred.
  • Strong analytical, interpersonal, and communication skills, with the ability to influence and collaborate effectively across teams while understanding business needs.
  • Proven experience working with external stakeholders, including customers and vendors, particularly in process improvement initiatives.
  • Demonstrated project administration and coordination experience, ideally within a technology services environment.
  • Excellent verbal and written communication skills, essential for effective collaboration with team members and stakeholders.
  • Capable of supporting multiple projects with minimal supervision, while ensuring deadlines are consistently met.
  • Proficient in Microsoft Office tools, including Excel, Word, and PowerPoint.
  • Able to thrive in a fast-paced, high-pressure environment with a proactive attitude and eagerness to learn.
