Scope:

The incumbent will provide direct day-to-day support to President and Management Team for the APAC region and SBU Industry Applications with heavy calendar management, administrative support, and ad hoc project management/event planning.

Primary Responsibilities include the following, other duties may be assigned:

Effectively and proactively managing calendars of President and Management Team - including heavy management of constantly changing calendars with shifting priorities, setting up TEAMS calls across different time zones, town halls, events, etc Coordinating with the hosting location for management reviews, meetings, and travel, when applicable Assisting with ad hoc projects, communications, email management, and/or meeting materials (such as templates, presentations, spreadsheets and documents) as requested Coordinating complex international and domestic travel logistics for individuals and groups; including standard forms of transportation, hotel, dining, visa, etc. Managing the flow of information by organizing, structuring, and maintaining documents for convenient and remote access. e.g via MS Teams or SharePoint Preparing and submitting expense claims for the President as and when required Coordinating and managing vendors (e.g. hotel, transport, food caterer, etc) to ensure smooth execution of events Maintaining professionalism and handling information and materials with confidentiality Maintaining smooth routine office operations, administrative matters and logistics Coordinating and consolidating presentation slides for monthly / quarterly meetings and sending to Group Board by the required deadlines Taking minutes of meetings and follow up on actions as and when required Other office duties and personal matters as and when assigned

Profile:

Business Administration Degree or equivalent with at least 5 years of experience in a similar role with a multi-national corporation. Experience in dealing with senior management and multiple stakeholders of various levels. High attention to details with strong organization and critical thinking. Comfortable working autonomously in an ambiguous environment, coordinating multiple tasks under time sensitive deadlines, adaptive to changing priorities, resourceful, and a can-do attitude. Experience working with confidential information and a high level of discretion. Excellent written and verbal communication skills, work well with various personality types and receptive to feedback. Demonstrates positive demeanor and good etiquette. Must be a self starter who works independently and with ability to manage up. A team player who is mature, highly motivated, and energetic. Technological savvy and proficient in Microsoft Office (Word, Excel, PowerPoint) – Capabilities in Power Query and Power BI is an added advantage.
