The luxury retail environment in Southeast Asia has been rapidly evolving, reflecting the region's economic ascent and cultural vibrancy. As we look ahead, this market is set to continue its transformation in the years to come. Advancing on its strategic intent of achieving “Uncontested Brand Leadership through a Transformative and Inclusive Organisation”, Chanel Southeast Asia and Australia & New Zealand (SEAA) Region will focus on building and strengthening solid foundations and investing ahead of the curve to become the decisive brand leader in every market.

The President's Office aims to elevate strategic planning and governance, drive business development, build insight, foresight, and external partnerships, as well as orchestrate change management. As the Executive Assistant to the Director, President’s Office at SEAA, you will be responsible for performing an array of administrative and coordination functions. You will also go beyond the traditional secretarial role and be instrumental in preparing presentation materials, compiling analytical reports, and handling diverse tasks and projects as they arise.

What impact you can create at Chanel

Manage the Director’s calendar, and meeting scheduling to ensure the works are carried out in a seamless, timely, efficient and effective manner.

Manage all travel arrangements and related activities, e.g. visas, travel requests and claims.

Handle expense claims, generate purchase orders, and process payments to external vendors.

Coordinate the scheduling and arrangements of various governance committees, including booking venues and setting up off-site locations.

Build and maintain a well-organised and systematic filing system (electronic & paper-form) such as the knowledge base/SharePoint, ensuring the accurate updating of meeting minutes, files, and databases for improved efficiency.

Facilitate effective communication with internal divisions, markets, functions, and external organisations.

Support the President's Office team needs as required with strong collaborative spirit and open mind.

Partner with the Director, President’s Office, SEAA in fostering a strong team spirit amongst the President’s Office team and to support the smooth onboarding and transition along with the transformation journey.

Contribute to the partnership of the Director, President’s Office, SEAA with his key stakeholders by building strong networking with them and their teams.

Coordinate across markets, regional and global teams during the transformation journey and to reinforce connection and facilitate new ways of working.

Provide support on projects with a regional division-wide impact as required.

Support the Director, President’s Office, SEAA and the dedicated teams, in preparing presentation materials all the way from translating thoughts into well-structured content & format and compiling market analysis/data as deemed necessary.

Partner with the President’s Office leadership team in ensuring the meetings are scheduled and taking place in a constructive and productive way.

Plan and organise meetings by representing the President’s Office, SEAA and manage the visits of senior leaders across market, region and global.

In collaboration with dedicated teams, organise the President’s Office, SEAA meetings including planning for the agenda, implementation and follow-up.

What you will bring

Proven experience in an Executive Assistant role to senior executives or similar capacity in a sizeable multinational company.

Excellent planning and organising capability in event planning and coordination.

Exceptional stakeholder management skills, with strong interpersonal and communication abilities and be able to build good relationship and partnership with people from diverse background.

Outstanding organisational and multitasking skills, with a track record of efficiency, punctuality, and meticulous attention to detail.

Unwavering discretion and a commitment to confidentiality.

An independent work ethic, resourcefulness, and problem-solving aptitude.

Excellent command of both spoken and written English.
