On behalf of one of its clients, in the Education field, the French Chamber of Commerce is looking for a Event Assistant.


Mission Principale : Accompagner le responsable des événements dans la planification, la conception et l’exécution de divers événements (au moins 20 événements pédagogiques et non pédagogiques), tels que des concerts, des conférences, des événements internes, et des activités communautaires.

  1. Conception de l’Événement :

    • Proposer des idées originales pour les événements.
    • Réserver des salles (interne et externe).
    • Sélectionner le traiteur et définir les menus.
    • Louer du matériel et du mobilier spécifique.
    • Trouver des prestataires pour le son, l'éclairage, la décoration et les intervenants.
    • Rechercher des sponsors ou partenaires financiers pour les événements.
    • Établir des contacts avec des intervenants potentiels pour des événements futurs.
  2. Préparation des Événements :

    • Organiser des briefings pour les équipes de maintenance, de traiteur, de sécurité et d'audiovisuel.
    • Installer la signalétique.
    • S'assurer de la cohérence et du bon fonctionnement des contenus média sur les supports de diffusion.
    • Mettre en place les décors et autres matériels le jour J.
    • Gérer les flux des prestataires en respectant les normes de sécurité (pass d'entrée).
  3. Communication sur l’Événement :

    • Aider à la conception des affiches.
    • Créer des invitations (via Google Form, Eventbrite).
    • Suivre les inscriptions et effectuer des relances.
    • Accompagner les bénévoles et les participants impliqués dans l’organisation des événements.
    • Aider à la production de contenu pour les réseaux sociaux et le site web relatifs aux événements (articles, photos, vidéos).
  4. Gestion des Équipements :

    • Gérer l’inventaire du matériel événementiel et planifier son entretien.
    • S'assurer de la disponibilité du matériel nécessaire pour chaque événement.
  5. Évaluation et Reporting :

    • Évaluer les événements après leur réalisation et recueillir des feedbacks.
    • Rédiger des rapports post-événement pour analyser les points forts et les axes d'amélioration.

Qualifications :

  • Solides compétences en communication écrite et orale.
  • Maîtrise des plateformes de réseaux sociaux et des outils de marketing numérique.
  • Créativité, souci du détail, capacité à travailler de manière indépendante et en équipe.

Autres compétences :

  • Bonnes compétences relationnelles.
  • Capacité à effectuer plusieurs tâches à la fois et à gérer des délais serrés.
  • Expérience en gestion de projets.
  • Autonomie et sens des responsabilités.
  • Langue maternelle française et maîtrise de l'anglais.

Conditions du stage :

  • Durée : 6 mois à partir de janvier 2025.
  • Temps de travail : temps plein, 42h/semaine.
  • Congés : 1,5 jour par mois.


Main Mission: Assist the Events Manager in planning, designing, and executing various events (at least 20 educational and non-educational events) such as concerts, conferences, internal events, and community activities.

  1. Event Design:

    • Propose original ideas for events.
    • Book rooms (internal and external).
    • Select caterers and define menus.
    • Rent specific equipment and furniture.
    • Find service providers for sound, lighting, decoration, and speakers.
    • Seek sponsors or financial partners for events.
    • Establish contacts with potential speakers for future events.
  2. Event Preparation:

    • Organize briefings for maintenance, catering, security, and audiovisual teams.
    • Install signage.
    • Ensure consistency and smooth operation of media content on broadcast platforms.
    • Set up sets and other equipment on event day.
    • Manage the flow of service providers in compliance with safety standards (entry pass).
  3. Event Communication:

    • Help design posters.
    • Create invitations (via Google Form, Eventbrite).
    • Monitor registrations and send reminders.
    • Support volunteers and participants involved in event organization.
    • Assist in producing event-related content for social media and the website (articles, photos, videos).
  4. Equipment Management:

    • Manage the inventory of event equipment and plan its maintenance.
    • Ensure the availability of equipment for each event.
  5. Evaluation and Reporting:

    • Evaluate events after completion and gather feedback.
    • Write post-event reports to analyze strengths and areas for improvement.

Qualifications:

  • Strong written and verbal communication skills.
  • Proficiency in using social media platforms and digital marketing tools.
  • Creativity, attention to detail, and the ability to work independently and as part of a team.

  • Exposure to project management.
  • Independent and responsible.
  • French mother tongue and fluent in English.

Internship Conditions:

  • Duration: 6-month internship starting from January 2025.
  • Full-time: 42 hours/week.
  • Annual Leave: 1.5 days/month.
