IT Project Portfolio Management
Overseeing the planning and management of ITSS projects, including resource allocation and procurement, as well as tracking project timelines and budget utilisation Defines and implements project tracking mechanism, model, or tools to ensure that projects are well managed and coordinated within the division Ability to plan, anticipate, and manage project alterations throughout the project lifecycle, especially facilitating resource requirements and procurement methodologies. Ensure that the projects are closely tracked and are meeting the division's KPIs, such as the budget utilisation targetIT Procurement Administration and Support
Oversee the division procurement support functions Provide administrative support to IT team to procure IT hardware/software/services. Ensure timely processing and tracking of daily Purchase Orders and all other IT Procurement activities as needed, such as, raise procurement request, perform goods receipt, clear e-invoices, liaise with approvers, IT staff and staff from divisions and research institutes. Work with external 3rd Party vendors to reconcile invoices, charged amounts and any billing discrepancies in a timely manner. In conjunction with IT procurement team, provide overall support of all Procurement activities. Research product information and provide recommendations for purchase based on requests from internal IT team members, outside departments and internal service request application ensuring all pricing advantages, discounts and any cost savings are realized. Support the IT Manager with enforcing and monitoring compliance of procurement policies as related to Vendor Management, Purchasing, Invoice reconciliation and Fixed Assets. Continuous process improvement to workflows, procedures, and tools to promote efficiency and better streamline of Procurement activities which can be technical in nature. Create and maintain payment summary records for recurring expenses, milestone payment, update budget utilisation Coordinate and handle enquiries from Vendors and Finance on all purchase, payment, invoicing, deliveries of goods matters Knowledge transfer and supervise assistant on SAPMM, GeBIZ intranet, HDMS contract register, speed up invoice processing Identify and solve problems for IT team (eg. Unable to do GR, invoice disputes, contract issues & etc)IT Contract Management
Develops, implements, and maintenance of IT contract management SOPsQualifications and Skills
At least a Degree holder in any discipline 3 to 5 years relevant working experience Experience in IT procurement and project management knowledge is preferred Proficient in Microsoft Office & SAP MM is an advantage Strong communication skills, both written and verbal Positive working attitude and willing to learn-
