The Personal Assistant will be providing comprehensive administrative and secretarial support to Management team. The Personal Assistant will be responsible for managing the day-to-day administrative and secretarial tasks and providing proactive support.
Job Responsibilities
- Provide full secretarial and administrative support to Management Team for business or personal matters as well as their team members for business-related matters.
- Facilitate meetings (including taking meeting minutes and equipment set-up), workshops, conferences, seminars, events and business-related activities etc.
- Schedule appointment, and dining arrangements, and maintain of calendar for management.
- Arrange travel arrangement (flight, hotel, visa, transport, dining and etc) including for all other staff as required.
- To follow up with all actions required after meeting and ensure all required actions are carried out and no deadlines are missed.
- Primary point of contact between the executive and all other stakeholders.
- Expense claims for Management team as well as their team members.
- Assist with preparation of PowerPoint presentation slides.
- To cover other Personal Assistant when required.
- Provide personal assistance as required. Any other ad-hoc duties assigned.
Job Requirement
- Diploma in Business Administration or related disciplines.
- At least 3 years of relevant experience in similar capacity.
- Excellent communication skills (both written and oral).
- Strong team player with excellent interpersonal skills.
- Pro-active, versatile and highly independent with positive working attitude.
- Able to work on weekends, flexible to work occasional public holiday and evenings when the need arise. Experience in real estate industry, building or facilities management will be an advantage.
