**Job Overview**:
The Assistant Transport Coordinator supports the organization's efficient operation of transportation and logistics activities. This role involves coordinating schedules, ensuring compliance with regulations, maintaining communication with drivers, and assisting in resolving transportation issues to guarantee timely delivery of goods and services.
**Key Responsibilities**:
- **Scheduling and Coordination**:Assist in planning and scheduling routes for deliveries or pickups.
Ensure optimal utilization of vehicles to meet deadlines and reduce costs.
Communicate schedules and updates to drivers and drivers.
- **Administrative Support**:Maintain accurate records of transportation activities, including delivery logs, driver hours, and vehicle maintenance schedules.
Assist in preparing reports and documentation related to transportation performance.
Process invoices and coordinate with accounts payable for transport-related expenses.
- **Compliance and Safety**:Monitor adherence to safety regulations and company policies.
Ensure drivers are current with certifications, licenses, and compliance training.
Report any violations or incidents to the Transport Coordinator.
- **Communication and Problem-Solving**:Act as the first point of contact for drivers regarding route changes, delays, or emergencies.
Address customer concerns regarding transportation services promptly and professionally.
Coordinate with other departments to ensure seamless delivery of goods.
- **Vehicle and Resource Management**:Track and report the condition and performance of vehicles including contractor's vehicles.
Ensure routine maintenance and repairs are scheduled and completed on time.
**Qualifications**:
**Education**:
- Certificate in Logistics, Transportation, or a related field is preferred.
- O Level or N Level
- Nitec or Higher Nitec
**Experience**:
- 1-2 years of experience in logistics, transportation, or a related role.
- Familiarity with route planning software and transportation management systems is a plus.
**Skills and Competencies**:
- Excellent organizational and time-management skills.
- Strong communication skills, both verbal and written.
- Problem-solving and decision-making abilities under pressure.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Knowledge of transportation regulations and safety standards.
**Working Conditions**:
- Work may involve extended periods of sitting at a desk or using a computer.
- Some travel may be required to inspect routes, vehicles, or delivery sites.
- Flexibility to work irregular hours, including evenings and weekends, depending on operational needs.
