**Job Description**:

- Oversee all aspects of fleet administration
- Ensure road tax are being renewed before expiry date
- Road tax renewal cheque requisitions
- Raising of Purchase Order for Repair & Maintenance quotations upon approval and any other ad-hoc invoices required by Finance whenever necessary
- Ensure no duplication of Purchase Orders are being raised by Admin
- Ensure Admin provide a monthly report of outstanding Purchase Orders
- Process invoices from inter-companies
- Ensure Admin does timely of invoicing of annual charges such as road tax and insurance to non-comprehensive Long Term lease customers
- Data entry for newly registered vehicles and ensure all data are accurately recorded
- Ensure all vehicles are registered with Vehicle Entry Permit into Malaysia
- Ensure all sub-hire vehicles have valid insurance by SDS
- Oversee all fleet insurance matters - renewal, new coverage, termination, amendments etc.
- Negotiate and source for the best quote (without compromising quality) with internal and external contractors for disposal of cars / repair of cars.
- Ensure vehicle locations in the system are recorded correctly.
- Follow up with all enquiries from various platform and booking sources
- Ensure reservation and bookings are passed down for confirmation and to make arrangement for deployment of drivers
- Perform invoicing for individual accounts
- Manage, train and ensure drivers (including part-timers) are performing up to our expected level of service and ensure chauffeurs are driving safely according to defensive training method provided
- Ensure effective maintenance and cleanliness of the vehicles
- Ensure all invoices are bill and submit to finance for the month end closing
- Keep track of debtors days
- Any other task as assigned.

**Requirements**:

- Diploma in any Discipline
- Possess Class 3/3A driving license
- At least 4 Years Experience in Customer Service
- At least 2 years’ experience in fleet operations or car rental industry
- Proficient in Microsoft Office
