Position title: Finance Associate

Terms of Employment: Full-Time

Hours: 38 hours per week

Location: Yavuz Gallery, Singapore

Requirements: Valid employment pass in Singapore

Reports to: CEO, dotted line to Planning Director

- **Position Description**:
The primary responsibility for the Finance Associate is managing the invoicing / accounts receivable process for all galleries using the Artlogic software. The FA is the contact point after a sale for the preparation of the template invoice and communication to the client for payment.

Artlogic is a software used by art galleries incorporating CRM, invoicing, inventory management, sales management. The Finance Associate is responsible for managing this software for the gallery and generating regular reporting from this software.

The FA partners with Planning Director to establish/provide regular reporting and analysis to the performance of exhibitions and fairs and opportunities for improvements in a financial sense to help steer business decisions and improve the overall business performance.

**Primary Responsibilities**:
**Invoicing / Accounts Payable**
- Owner of generating invoicing for each sale and communicating with clients for the payment of artworks across all Yavuz galleries leveraging the templates provided by Artlogic.
- Overall management of the Artlogic tool to show available works, and status of accounts payable.
- The FA manages the outstandings and coordinates with the Logistics Executive for the release of artwork for clients upon confirmation of payment.
- Generate sales invoices and receipts for all local and international artworks sold coordinating together with the local Sales Directors
- Communicate with clients regarding information, delivery, and shipping of artworks
- Assist in payment collection and local bank transactions per standard payment terms
- Prepare payment receipts and sales report for artists
- Update all on-line portals with sales and availability of artwork
- Directly manages an effective credit control process and continually drives down accounts receivable.
- Works together with Sales Directors to proactively manages outstanding invoices.

**Financial Management**
- Supervises and maintains an efficient financial accounting function, including continuous review of exhibition & fair costs, SG&A, balance sheet accounts and fixed assets registers.
- Critically reviews the monthly financial statements and prepares management information to help the management team improve profitability and reduce costs.

**Business Analysis**
- Integrates business reporting from all markets that Yavuz operates.
- Works with the Planning Director to prepares financial projections and business planning reports, closely track and analyse the variations, work out and implement corrective action plans with the business leader.

**Business Expenses**
- Manages the process for reviewing and reimbursing Yavuz team for work expenses incurred.
- Manages SOP for consistent process for expenses management

- **Job Requirements & Qualifications**:

- Qualification in accounting, finance or equivalent and/ or a professional accountancy qualification with minimum of 2 years financial working experience.
- Highly organized with well-developed analytical skills and commercial judgement.

**Salary**: $2,500.00 - $3,000.00 per month
