**Global Corporate Services - APAC Business Services Manager**
**Role and Responsibilities**:
The APAC Business Services Manager will report to the VP of APAC Corporate Services and be responsible for delivering a best-in-class workplace experience for visitors, guests, and colleagues in APAC. This will include but not be limited to planning, designing and running all day-to-day operations for food, beverage, dining and pantry services; meeting rooms and conference facilities; internal and external events; visitor, guest and colleague experience and maintaining oversight and leadership for all office services including mail, messengers, office supplies, records and shredding as well as travel and expense inclusive of managing corporate cards, travel and concur expense. This will include overseeing personnel, working very closely with the APAC Real Estate Manager to ensure that all facilities are maintained to the highest standards, ensuring customer satisfaction, training, developing the team and overseeing the upkeep of administrative, audit, compliance and financial records.
**Responsibilities**:
- Facilitating smooth delivery of exceptional hospitality services and internal events
- Ensuring that all food and beverage areas are maintained to the highest standards of cleanliness
- Ensuring adherence to Health and Safety regulations
- Driving the ESG agenda across lines of business
- Driving the Wellness agenda across lines of business
- Developing excellent relationships with APAC GCS Coordinators and being their primary point of contact for Business Services
- Maintaining oversight, responsibility, and leadership of the Office Services team
- Maintain oversight, responsibility and leadership of Corporate Card, Expense Management and Travel for APAC
- Working closely with the APAC GCS Coordinator who will assist in supporting team on travel, corporate card and expense management
- Maintain oversight, in partnership with landlord and in house reception services, of daily meeting/event reports, generating BEO’s (banquet event orders) for events and liaising with other internal service providers (BXTI, Office Services etc.) to execute event requests
- Managing all ordering, purchasing, and invoice reconciliation
- Managing & reconciling of petty cash & credit card transactions
- Maintaining an immaculate appearance and ensuring staff are groomed and trained to the Blackstone standard
- Effectively managing and operating internal and external events, ensuring rooms are set up and ready as requested, coordination of program and main point of contact
- Assisting customers with queries regarding prices and menu choices
- Set and maintaining innovative F&B offers, ensuring exceptional presentation and service
- Regularly reviewing the F&B products on offer and providing new ideas and suggestions
- Any other duties as required by the VP of APAC Corporate Services
**Event Management**:
- Working closely and build relationships with AVP Global Corporate Services and APAC GCS Coordinators
- Creative solutions and innovative ideas for virtual as well as future hybrid/in person events
- Vendor procurement and management - includes contract negotiation and managing vendor service levels
- Venue selection and management - should provide knowledgeable venue ideas with recommendations for an ideal setting
- On-site execution, staffing and vendor management - accountable for overall success of the event
- Brand and messaging strategy - help design and maintain an overall brand strategy using firm resources and software
- Financial Controls - responsible for building and managing accurate and thorough budgets.
- Business Unit Relationship Management - responsible for specific business lines as a point of contact for annual budgets, events & strategy
**Cvent Registration**:
- Working knowledge of Cvent registration software - Cvent Flex preferred
- Able to create event registration websites based on presented requirements
- Maintain registration websites (manage change requests and updates)
- Manage invitation lists for events (initial lists, additions, removals, etc.)
- Create and manage reports for business unit contacts via Cvent (report creation and permissions)
- Manage registration components including but not limited to rooming lists, transportation manifests, travel logistics
- Attendee management/support - pre-event, during event and post-event
- Manage attendee technical support during virtual events
- Onsite registration and staff management where required
- Name badge creation and management, event collateral and shipping
- Able to review event data and provide post event reporting and analytics
**Skills and Qualifications**:
- Ten (10) years minimum experience in a similar role in both the hospitality, events and corporate environment required
