**ESSENTIAL SELECTION CRITERIA**:
1.1 Academic Qualification and Administrative Experience Required for the Position
- A degree or equivalent qualification and at least 5-7 years’ experience in quality assurance in an educational organisation or, alternatively 15 years relevant experience in an educational institution.
- Good written and spoken English language skills
1.2 Experience that is Relevant to the position
- Experience as a Management Representative of a PEI.
- Experience as an auditor for Quality Assurance.
- Excellent organisational skills and the ability to set schedules, and priorities to meet externally set deadlines.
- Excellent organisational and time management skills to ensure the delivery of reports on time.
- Knowledgeable in the Council for Private Education’s regulatory framework.
- Experience in preparation of papers and minutes taking for formal Board or Committee meetings will be an added advantage
- A high level of initiative to improve existing administrative systems and make recommendations for new systems where required.
- Good interpersonal skills and the ability to communicate effectively with senior management as well as academic and administrative staff.
- Good communication skills and understanding of how to deliver information across a complex organisation.
- Demonstrated flexibility to work independently or as part of a team.
- A high level of discretion and confidentiality.
- Willingness to undertake training, as required for the position.
- **KEY RESPONSIBILITIES**:
2.1 Quality Assurance (QA)
- Update and maintain an annual schedule for the delivery of Quality Assurance reports to CPE and TMC partner institutions.
- Undertake a review of the quality management systems in place and report the problems associated with the production of reports and the solutions for their improvement.
- Establish procedures for monitoring internal Key Performance Indicators (KPIs) set for the company and each division within TMC and collate reports from the Heads of Department for reporting on the measurement of these KPIs for the Management Review Committee.
- Provide advice to the Management Team on all matters relating to Quality Assurance.
- Act as Management Representative for CPE.
- Provide advice on the improvements required to QA systems to improve their efficiency.
- Manage the preparation and co-ordination of QA reports and provide advice to the Deans/Heads of Schools on the information required in the reports and a schedule for completion.
- Advice the Academic Director, Deans and Heads of Schools on the changes required to improve the efficiency of QA reporting arrangements.
- Review staff and student surveys and provide reports to the Management Team on their efficacy and where improvements are needed. Analyse the findings of the surveys and advise the Management Team on the action required.
- Manage feedback from staff and students and complaints.
2.1 Examinations
- A member of the Examination Board.
- Ensure that the objectives and procedures of the Examination Board are followed.
- Oversee the establishment of an annual calendar for the conduct of examinations and release of examination results to students for each term ensuring that the calendar is coordinated with any awarding/validating body and partner universities.
- Liaise and coordinate with the Academics on the setting and marking of assessments ensuring that the approved question papers and marking schemes are used.
- Prepare an analysis of examination results for the Deans of the Schools and Heads of Department for each of the courses conducted at TMC.
- Prepare reports/lists for the academic schools and departments based upon examination results for students who are to receive awards, graduate, repeat a module etc.
- Prepare agenda and papers for the Examination Board’s meetings.
- Manage other miscellaneous requests for reports and issues arising from examinations, as required.
- Take part in graduation ceremonies ensuring that graduates receive their transcripts/certificates at the ceremony and are available for collection from those that are unable to attend.
2.2 Academic Services
- In consultation with the CEO and Management Team, manage the implementation of decisions made at senior committees for which the department provides secretariat services to ensure that decisions are communicated to other committees and the implementation of decisions flow through to the appropriate work area.
- Assist on the establishment and maintenance of an effective records management system for the Academic Division.
- Ensure updates in courses, teachers, premises and other related matters are registered or updated to CPE as soon as the Academic Board or Management Team has approved.
- Ensure that the annual and quarterly reports to CPE are submitted accurately and timely.
- Person incharge to communicate with CPE.
- Other duties as requested by the Registrar.
