**Position: Secretary**
**Employment type: Full-Time**
- Prepare for weekly/adhoc meetings by ensuring all necessary documents and agenda are ready in advance.
- Record and distribute minutes from weekly/adhoc meetings, and follow up on action items to ensure completion.
- Liaise with external organizations and clients when instructed.
- Receive clients/customers on behalf of the Managing Director.
- Arrange travel, both domestic and international, along with accommodations and detailed itineraries for the Managing Director.
- Liaise with vendors, service providers, relevant authorities and contractors toensure smooth office operations.
- Handle sensitive and confidential matters with utmost care and discretion.
- All ad-hoc tasks as and assigned by the Managing Director (e.g booking ticks, documentation for SLA, BCA, ordering foods and etc)
**Job Requirements**
- Minimum a Diploma in Business Administration or equivalent with a minimum of 3 years of relevant experience in executive support, preferably for senior management or C-level executive.
- Strong organizational and multitasking skills, with the ability to prioritize and manage a high level executive's schedule.
- Excellent verbal and written communication skills, with experience in drafting documents and presentations.
- Effectively bilingual in English and Chinese to handle Chinese-speaking customers and clients
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
- Ability to maintain confidentiality and exercise discretion in handling sensitive information
- Strong problem-solving abilities, with the capacity to work independently and make sound decisions.
