**The Responsibilities**:
Logistics
- Liaise with forwarders for flight booking, packing & local delivery
- Process import/export documents
- Import/ Export quarterly report
- Cost allocation for tax invoice from forwarders
- Customer LOA submission
- Quarterly re-export report
- Check for inventory entry (Daily)
- Process internal DO
- Parts and Tool arrangement for installation

Parts Control
- Order processing to subsidiaries and manufactures
- Weekend's emergency order processing
- Inventory movement data entry
- Confirm withdrew parts usage status with engineers
- Monthly inventory reconciliation
- Physical parts condition check for recycle parts
- Recycle bad/good parts shipment
- Recycle outstanding parts report
- Parts repair & investigation request
- Quality issue parts arrangement
- Weekly Outstanding recycle parts list to customer
- Chasing outstanding recycle parts to customer
- Stock replenishment for replaced parts
- Preparation for inventory evaluation report
- Monthly Stock take performance
- Quarterly Stock take performance
- Customer transaction screening sheet
- Warranty fee invoicing
- Inventory insurance arrangement
- Prepare DO
- Exchange rate list & update (Monthly)
- Documents filing

Sales Support
- Prepare parts and service quotation to customers
- Prepare Labor support PO to subsidiary
- Parts / Tools shipping schedule advice to customers
- Chasing outstanding purchase order for replaced parts and completed service
- Process sales Invoices
- Monthly sales and cost data update and reconciliation with Accounting Dept.
- Sales & Cost data closing (Twice a month)
- Monthly sales data & outstanding parts report
- Credit Note report
- Chasing outstanding Payment
- Parts hit rate report
- Labor consumption report to Accounting Dept.
- Update service activity report PO progress status
- Liaise with external auditors for sales/cost & inventory evaluation
- Aggregation of sales & cost data and analysis
- Weekly Outstanding PO list
- Quarterly perform Inventory write down
- Quarterly prepare Inventory write down report
- Parts price & usage update report

Admin
- Beeline issues raise
- Calendar and diary order processing
- Cost allocation for expense invoices
- Input expenses invoice to Tender Board system
- Administration support to installation
- Other ad hoc duties as assigned

**The Requirements**:

- Minimum Diploma in Business Studies
- At least 2 to 3 years of relevant working experience with knowledge on import & export
- Proficient in spoken and written English and Japanese language to communicate and work closely with native Japanese-speaking in Japan HQ for logistics, parts control, and sales support related matters
- Able to standby for ad hoc emergency order processing as and when needed
