Singapore OFFICE SECRETARIES PTE. LTD. Full time

The main duties of the role are:

- AP and Payroll processing
- Payment Processing
- Pension filing
- Singapore salaries tax filing

This position has a role that manages:

- About 190 employees payroll
- Partners / employees from Singapore, London, US, and other parts of the World.
- Great complexity due to many different structures, multiple remuneration packages and tax jurisdictions.
- Adhering to strict deadlines and the need for great accuracy in the payment of salaries makes this a high profile role within the firm; with the firm’s reputation at stake.

**Key responsibilities and challenges**

Payroll Responsibilities
- Prepare monthly payroll (registers), including data entry to Payroll System for employees paid by Singapore office (including payroll payments for employees working in other offices)
- Prepare filing for Singapore pension and salaries tax (IR8A, IR21, IR585 etc)
- Ensure payroll processing and payments are done accurately and on a timely manner
- Work closely with HR to ensure accounting and payroll records in SAP and/or payroll systems are synchronised
- Work closely with London Partnership Team to handle partners distributions and other remuneration related issues
- Liaise with pension agent to resolve staff pension and related issues
- Liaise with Regional Tax Team about tax related matter

Accounting Responsibilities
- AP processing relating to payroll including data entry for accounts payable, banking transactions
- Payments processing relating to payroll, pension, school fee, recruitment fee and other payroll related transactions
- Ensure compliance of firm/office policies on vendor payment and staff reimbursements; solve the issues when needed
- Preparation of bank reconciliation statements
- Preparation of month and year
- end journals
- Assist in the preparation of balance sheet reconciliations and periodical audit schedules
- Communication with inter-offices on payroll related transactions
- Assist in preparation of various monthly reports/statements for the office
- Assist and support other members of the department as required
- Keep adequate records of partners information for accounting purpose
- Ad hoc accounting and analysis work as required

**Characteristics, Skills & Experience required**:
Character
- Diligent and accurate
- Customer orientated attitude essential
- Flexible with ability to cope with changing priorities.
- High level of integrity in dealing with highly sensitive information

Education / Qualification
- Diploma in Accounting or related major

Language(s
- English

Practical experience
- Experienced with payroll, pension and tax filing within a MNC
- SAP experience desirable but not essential
- Experience working in a law firm a bonus

Office skills
- Solid Excel skills
- Experience with payroll software (Easypay) will be an advantage

Commercial Skills
- Good understanding of Singapore pension legislation and rules
- Knowledge of salaries tax computation
