**Job Title: Lead Procurement Executive / Assistant**

**Location**: Tuas, Singapore _(Company transport provided from nearest metro station)_

**Client & Enquiry Management**
- Acknowledge and respond to client enquiries promptly.
- Update enquiry status and maintain related documents in Microsoft Teams.
- Communicate directly with clients regarding quotations, confirmations, and delivery timelines.
- Follow up on quotations issued and gather feedback to refine service.
- Maintain and build strong relationships with both new and existing clients to ensure continued business.

**Vendor Sourcing & Negotiation**
- Identify suitable vendors for specific product or service needs.
- Source, compare, and evaluate quotations; negotiate for optimal pricing, quality, and payment terms.
- Develop and sustain strong vendor partnerships; periodically review vendor performance.
- Stay informed about market trends, alternative suppliers, and product innovations through regular market research.

**Order Management & Fulfilment**
- Process and confirm purchase orders with suppliers in a timely manner.
- Coordinate payment arrangements with the Accounts team (Cash on Delivery or Credit Terms).
- Make necessary logistics and transport arrangements for collection/delivery of goods.
- Confirm delivery schedules and site-specific requirements with clients.
- Issue and track Delivery Orders (DOs); ensure collection of endorsed DOs with vessel stamps.
- Gather post-delivery client feedback to enhance service quality and client satisfaction.

**Documentation & Records**
- Maintain comprehensive and accurate records of all procurement transactions.
- Update and manage procurement and pricing databases regularly.
- Ensure documentation is audit-ready and aligned with internal control standards.

**Logistics & Customs Coordination**
- Liaise with customs agents, CHA, air/sea freight agents, and couriers (e.g., DHL).
- Manage end-to-end shipment cycles, including customs clearance and final dispatch.
- Track shipments and provide timely updates to relevant stakeholders; escalate delays where necessary.

**Team Leadership & Reporting**
- Lead and supervise the procurement team in day-to-day operations, ensuring smooth coordination and task delegation.
- Foster a collaborative and efficient team environment with a hands-on approach.
- Prepare and present regular sales and procurement reports to management.

**Requirements**:

- Diploma/Degree in Supply Chain, Logistics, Maritime Studies, or a related discipline.
- 2 - 5 years of relevant experience in the maritime, ship repair, **or ship channelling** industry.
- Prior experience in a **Ship Channelling company is highly preferred**.
- Proven ability to handle vendor negotiations and manage freight logistics (both local and international).
- Proficiency in Microsoft Excel, Outlook, and Microsoft Teams.
- Strong communication, negotiation, and organizational abilities.
- Ability to manage multiple priorities in a high-paced environment.
- Team-oriented, proactive, and solution-driven work ethic.

**Job Type**: Permanent

Pay: $2,500.00 - $4,000.00 per month
