**Front Desk Duties (30%)**
- Attending to walk in clients and retailers
- Maintaining a visitor log /Issuance of security pass for visitors
- Handle retailers’ repair, spare parts collection/reception
- Customer Service administration (cutting of repair labels, warranty card labelling)
- Supports in setting up (internal and external) video conferences/Teams meetings
- Provide logístical support to meetings held in the Boardroom and assist in arrangements for catering provisions, if needed
- Organise restaurant reservations and taxi bookings for external business meetings, when needed
- Receive, sorting and distribute daily mail/deliveries
- Monitor and ensuring office premises and reception area are always kept tidy and neat
- Maintain office security by following safety procedures and controlling access via the reception desk
**Administrative Duties (70%)**
- Prepare documentation for local courier and FedEx shipment
- Handling of any custom related delay or issues
- Ordering of office supplies, printer toners for office and boutiques and keep inventory of current stock level
- Monitor and replenish of pantry supplies
- Upkeep of office equipment (coffee machine, water dispenser, printers, etc)
- Assist on administrative matters including invoice verification and payment submission such as monthly FedEx, Photocopier, SP Services bills
- Collate and maintain office contact list regularly
- Supports in overall general office maintenance and reports any irregularity to Superior
- Report any technical or maintenance issues in the front-of-house to the Building Management and ensure that these are resolved in a timely manner
- Maintain organized system of all existing office maintenance contracts, statutory licences, agreement file and sends renewal alert when near renewal dates
- Keep track and maintain Office Administration expenses and budget report file
- Other ad-hoc administrative support, i.e., sourcing of corporate festivities gifting, corporate rates for hotel accommodation, clerical duties such as printing, blinding and photocopying etc
**Requirements**:
- Min GCE “O” Levels
- Minimum 2 years’ relevant working experience
- Proficiency in MS Office (MS Word, Excel, PowerPoint, IE & MS Teams)
- Able to work independently, respectful to and work as a team player
- Professional attitude and appearance with good customer service skills
- Excellent verbal communication skills
- Resourceful and proactive on problem solving
- Capable of Multitasking with good time-management skills and ability to prioritize tasks
