**REPORTS TO**: Director of Teaching & Learning
**JOB GOALS**:
Teaching & Learning: Provide support for the Director of Teaching & Learning in completing their daily tasks to help them remain organized and effective as an instructional leader.
Registrar: The registrar has primary responsibility for all student records from when students are accepted through their graduation or withdrawal. The registrar solicits and records all school-related information and maintains each student’s cumulative folders. The registrar is key in collecting and distributing all the information needed for progress reports, report cards, and transcripts.
CPE Liaison: Working with the Management Representative and Administrative Team, take responsibility for timely filing of all CPE documentation: course, module, and teacher deployment, quarterly and annual reports. Take responsibility for the policies and procedures for these areas, ensuring that the policies and procedures are correct and that the school is in compliance.
**DUTIES AND RESPONSIBILITIES**:
Teaching & Learning
- Assist with the management of textbooks and curriculum resources
- Coordinate with the Director of Teaching & Learning to prepare for inservice days and track teacher professional development records
- Support the Director of Teaching & Learning with preparation for and implementation of standardized testing
- Annually liaise with the Director of Teaching & Learning to ensure all course information is updated in PowerSchool and Atlas, including reporting standards
- Complete special projects or other duties assigned by the Director of Teaching & Learning
Registrar:
- Create, activate and deactivate student records in PowerSchool, keeping accurate enrollment
- Follow-up of admission academic records to ensure copies of all records are complete
- Maintain report cards and transcripts for student file
- Ensure test scores are filed in a timely fashion (MAP, Explore, PSAT AP, SAT, ACT)
- Distribute student records upon request (Certificate of Enrollment, report cards, transcripts, etc. Upon student withdrawal, review and complete student cumulative file.
- Filing report cards and/or transcripts to date
- File all required documentation in student records per policies
- Assist with data gathering and generating administrative reports as needed.
- Assist with obtaining and updating current student visa info.
CPE Liaison:
- Ensure the procedures are complete, accurate, and compliant with CPE guidelines. Monitor our activities to ensure that we comply with those policies and procedures.
- Be proactive in working with the principals and academic office to ensure that all courses and modules are filed with CPE promptly, that all filing records are up to date, and the current status of course deployment is communicated to all appropriate parties.
- Work with the director’s office to ensure that all teachers are properly deployed with the CPE in a timely manner, all board member changes are properly filed, and the associated records are up to date.
- File reports required by CPE
Other Responsibilities:
- Perform other related duties as required and assigned
**QUALIFICATIONS**:
- Minimum bachelor’s degree
- Excellent interpersonal skills
- Excellent problem solving, documentation, and organizational skills
- Telephone and messaging skills
- Experience in Google Suite products preferred
- Experience in Powerschool preferred
- Proficiency in spoken and written English
The position involves a 5-day work week with annual leave entitlement, on top of school closures for 4 weeks (2 weeks off for winter break, 2 weeks off for summer break) each year.
