The Executive Assistant of the Population Health Office’s Office of Clinical Governance (POP OCG) will provide administrative and operational support to the department in institutionalizing clinical governance, which includes professional development, quality, research, and total workplace safety and health of the Population Health Campus (PHC). This role requires strong interpersonal and organizational skills to enable cross-functional teams and foster collaborations to meet the evolving needs of population health. These efforts will contribute to the delivery of our population health strategy and implementation plans.
Major Duties & Responsibilities
- Manage PHC policies with stakeholders, including ensuring appropriate formatting and policy classification, issuance of policy number, facilitate policy endorsement, tracking of expiration dates, and accurate filing for the organization.
- Perform administrative duties for NHG’s risk and safety management portal and research portal. Tasks involve updating user lists, preparing simple statistics for reports, and tracking stage completions for incident reviews.
- Provide operationalization support for relevant POP OCG Committees (as determined by Deputy Director) including the collation and archiving of reports and other relevant documents.
- Perform record management of PHC employees’ immunisation and mask fitting records to ensure staff are vaccinated per PHC policies and MOH’s guidelines, and support manager in preparing management reports pertaining to vaccination and mask fitting completion rates.
- Provide administrative assistance to the team, including but not limited to event planning, calendar management, meeting coordination, room bookings, and expense claims for POP OCG.
Job Requirements
- Good Diploma in any discipline.
- Having healthcare operations experience will be advantageous.
- Must possess strong administrative and project coordination skills.
- Detail-orientated with the ability to effectively manage multiple tasks simultaneously.
- Strong communication and interpersonal skills.
- Independent, self-motivated and result-oriented.
- Good communication, collaboration, and problem-solving skills.
- Resourceful and able to work across multiple teams with a can-do attitude.
- Attention to detail and able to manage various project elements and timelines.
