MAIN DUTIES AND RESPONSIBILITIES
(A) Education
1. Undergraduate - Yong Loo Lin School of Medicine
Coordination of rostering of tutors for entire academic year
Coordination of Phase IV electives
Tracking and submission of doctors teaching hours to PPEO after each
posting
Booking of rooms for all tutorials and ensure rooms are setup properly
before start of tutorials
2. Undergraduate Overseas elective students
3. Undergraduate - Lee Kong Chian School of Medicine
Administrative support to HOD (Rheumatology Sub-Lead)
Coordination of rostering of tutors for entire academic year (from 2015)
(B) Training
1. Residency (Internal Medicine and Senior Residency)
Administrative support for Internal Medicine Residency Core Faculty
Administrative support for Rheumatology Senior Residency Programme
Director
All residency matters including mini-CEX, 360 Feedback forms, end of
posting feedback, rotations of residents including PGY1 (HOs)
2. Rheumatology Advance Specialty Training Programme (AST)
3. Rheumatology Residency Advisory Committee (RAC)
Correspondence and diary for RAC members
All RAC matters
4. Medical Officers on rotation (MOPEX)
Administrative support for Medical officers rotated to the department
5. Clinical Fellowships/Attachments (CIA or Rheumatology attachment)
Administrative support for doctors on clinical fellowship/attachment to the
department
(C) Research
1. Research KPI Output report to CRU - yearly
2. Administrative matters in the Immunology Research Lab
3. Research staff/ Principal Investigators
Ordering of stationery
Tracing of case notes
Liaison with TTSH Clinical Research and Innovation Office
administrator
NKF
Obtain monthly IRL Fire Safety Inspection Returns from IRL
Administrative support for
- HOD - as needed
- DSRB E department representative - as needed
(D) Others
- Coverage of duties within department when respective Admin Asst/Executive Assistants/Senior Executive Assistants are away.
- Other ad-hoc duties i.e. workshops/symposium etc.
JOB REQUIREMENTS
EDUCATION : GCE O Level with Certificate in Business Studies/ LCCI Advanced
typing
TRAINING : Nil
EXPERIENCE: Knowledge of Microsoft Office and IT skills. Organisational and
administrative skills.
