**Job Description**:
**General duties**:

- Ensure the comfort and well-being of the dental patient.
- Handle daily transactions, booking and scheduling of patients’ appointments.
- Make post-treatment courtesy calls to all patients as part of the service excellence protocol.
- Follow up on patients’ follow up appointments and lab cases.
- Responsible for explaining to patients and ensuring they understand the benefits and procedures of the various treatments.
- Help patients understand the costs involved in the treatments through financial counselling.
- Ensure the cleanliness of the dental treatment room and all clinical areas.
- Responsible for inventory stock-take.
- Maintain good customer relations with patients, patient families and referring healthcare professionals.
- Assist Clinicians with the use of standard dental radiographic equipment.
- Provide on the job training to fellow colleague(s) at another clinic when needed.
- Be assigned to other clinics (when required) to back up the manpower needs.
- Work with the team to create a positive, high-energy atmosphere.
- Identify and report incidents to the clinic manager for the necessary actions to be taken.
- Any other work as assigned by the clinic manager/director.

**Supervisor Role**:

- Management of staff performance and development of their capabilities.
- Ensuring that the clinic is sufficiently staffed at all times, through effective management of the roster and leave approvals. Where necessary, to make arrangements for and approve overtime (OT) by employees.
- General management of the day-to-day operation of the practice, ensuring patient’s utmost care & safety and that appointments are correctly booked with sufficient time for the respective treatments.
- Follow up closely on patient’s treatment plans.
- The practice manager should always be able double up as a Receptionist/ Dental Nurse whenever there is a staff shortage.
- Any dentist-related issues shall be reported to the Management and dealt with accordingly.
- Any other non-urgent matter(s) will be reported at monthly meetings with the Management.
- Maintain $100 float money and ensure clinic cash taking is deposited on time and maintain at all times.
- Follow up closely and handle any form of refund/complaint effectively and efficiently.
- Ensure there is sufficient stock in the clinic on a monthly basis through effective management of monthly stock orders.
- Make sure lab cases are delivered in a timely and error free manner.
- Where new product(s) or equipment request(s) are required by dentist(s), ensure that such request(s) are approved by the Clinical Director.
- Ensure the clinic is receiving Google reviews.

**_Reports - to be checked monthly_**
- Keep a close tab on the servicing requirements of the clinic equipment.
- Submit the monthly doctor’s lab report to finance in a timely manner.
- Staff training logs are to be checked regularly.
- Perform reconciliation of payments and ensure such government auditable payment modes (e.g. Medisave & CHAS) are submitted on time.
- Perform monthly stock takes in a timely manner.
- E-drugs quantity & expiry date to be checked and maintained.
- Purchase requisition to be done to maintain optimal stock level.
- All tax invoices to bear the clinic stamp, signature and name of the staff.
- To check that all lab invoices bear the dentist’s signature.
- Scan all tax and lab invoices and sent them to the Finance Department.
- All cash-taking summary are to be sent by end of the work day.
- General upkeeping of the clinic interior & exterior to ensure there is no stains/marks/chipping.
- Follow up on outstanding invoices that can be generated by PLATO.

**_Insurances/Corporate_**
- Brief all staff to ensure all are aware of the type(s) of insurance and corporate discount the clinic provides.
- Guide and making sure all staff are proficient in the navigating the various insurance portals.
- Ensure accessibility to the portal for all staff by providing user-id & password for them.
- Ensure that all staff perform initial checks on patient’s insurance coverage before consultation of the doctor.
- Cigna insurance patient’s coverage to be obtained 1 day in advance.
