Executive Assistant, Juronghealth Fund

Established in August 2011, JurongHealth Fund is a grant-making organisation that aims to create a positive impact and make a difference in our community through funding patients, community care, education, quality improvement and research projects. At the heart of JurongHealth Fund's objective is the promotion of all medical and health-related services that are exclusively charitable and for the benefit of the Singapore Community. Governed by a Board of Directors, JurongHealth Fund is also a registered charity and an approved Institution of a Public Character (IPC).
We are looking for a dynamic individual to provide support in the operations of the Fund including grant making, fundraising, donor management, and compliance adherence. If you are someone with a passion for making a positive difference in patients' lives, join us.
**Your responsibilities include**:
**Grant Management**
- Support Grant Making Executive on administration of funded programmes
- Professionally address grant-related queries from grantees and interested applicants
- Monitor and follow up with grantees on submission of documents, in accordance to the schedule of deadlines
- Assist in preparation of presentation materials for JHF meetings
**Fundraising and Donations Management**
- Support Communications and Engagement Executive on fundraising activities/events, including logistics, publicity, management of vendors and tracking of project timeline
- Administering donation documents including issuance and proper record-keeping of donation and tax-deductible receipts.
- Liaise with various departments to ensure smooth operations of the donation management system
**Others**
- Manage the communication channels of JHF, including intranet site and website
- Manage department’s document repository and update of key registers
- Manage procurement for department
- Minute-taking for department meeting
- Scheduling of meetings and room resourcing for department
- Provide logistics support for Audit Committee and Board meetings
- Assist in other work duties as required from time to time
**Requirements**:
- At least a Diploma, preferably in Business Administration or Finance and Accounting
- Prior experience in the healthcare sector/non-profit and grant making organisation is an advantage
- Meticulous with an eye for detail, good with numbers and a nimble multi-tasker who takes initiative
- Proficient in Microsoft Word, Excel, Powerpoint, and in other grant management system will be a bonus
- Excellent interpersonal, written and verbal communication skills
