**JOB SUMMARY
Working in a dynamic and challenging environment, the Administrative Assistant is the key support function for the APAC Technical Team. The Administrative Assistant is primarily responsible for organizing the time commitments of the VP & Head of Technical, APAC as well as the Technical team and ensuring the smooth running of meetings, travel and events.

To succeed, the Administrative Assistant must pay meticulous attention to detail, exercise strong communication skills, be commercially focused, and be adept at managing multiple, competing priorities simultaneously.

**ESSENTIAL FUNCTIONS**
- Diary and Calendar Management and ensure accurate and timely meetings management.
- Manage business events, travel including flights, visas and accommodation.
- Coordinate itineraries for visiting executives (including: organization of meetings; catering arrangements; transportation arrangements; preparing detailed itineraries and distributing them).
- Organizing and attending meetings, assuring the Technical Team members are prepared for meetings.
- Handle work of a highly confidential and sensitive nature.
- Produce a variety of documents, mail and presentation materials.
- Compilation and analysis of expenses and assistance in budgetary control where required.
- Develop efficient and effective management information systems and procedures that allow swift and easy access to key documents and files.
- Contact database management.
- Minute taking.
- Manage ad-hoc special projects as required.
- Provide assistance where required to wider team in populating presentations and reports, in line with the policies and procedures.
- Maintenance of supplier agreements.

**JOB REQUIREMENTS, QUALIFICATIONS, & COMPETENCIES**
- Associate degree or relevant experience; Bachelor’s preferred.
- 3- 5 years’ experience of supporting and proven track record of working senior management and confidential information.
- Corporate experience essential, desirable experience of working in the aircraft leasing industry. 
- Must have demonstrable experience working on projects and initiative.s 
- Excellent MS Office skills. 
- Self-starter with confidence and commitment to professional delivery. 
- Excellent communication, influencing and negotiation skills. 
- Highly motivated and flexible individual. 
- Attention to detail with a focus on results and efficiency. 
- Excellent organizational and time management skill.s 
- Ability to work under pressure, often with tight timescales and often with a limited amount of information. 
- Flexibility in working hours to accommodate demands of different time zones. 
- Tech Savvy.
