Officer / Executive (Psychological Services)

**Overview**
You will support the Psychological Services departments of CPH, so as to ensure smooth operations on a day-to-day basis. This may include support in areas of finance, procurement, KPI tracking, data management, logistics support, secretarial support and facilities management.
**Responsibilities**
**1. Support team operations and performance (Custody Evaluation Report Service & FAM)**
- Liaise with CPH vendors and MSF on admin matters
- Collection and payment of invoices from vendors
- Room booking for CER evaluators
- Manage CER case allocation
- Support procurement related matters, including calling for quotations/tenders and liaising with vendors and stakeholders, processing invoices, tracking use of funding
**2. Administrative matters**
- Manage general administrative matters, including updating of SOP, mailing matters, filing of documents, photocopying, scanning, coordinating group sessions (meetings, training etc.), managing group calendars, room booking and management of resources etc.
- Carry out any other duties as assigned by Reporting Officer/ Management
**3. Data management and analytics**
- Perform data entry and up-keeping of data/statistics required by the team, including KPI reporting and use of Alchemer (data collection platform)
- Update and maintain the team’s data management system
- Streamline processes
- Generate data reports and basic data analysis to present to stakeholders
**4. Culture and team communications**
- Champion team-bonding and culture-building efforts
- Manage department’s team-bonding budget
- Support training needs of department, including technical and admin support, processing invoices
- Upkeep the resources of the department(s), including purchases of books and psychological assessment kits
- Assist with department’s digitalisation process and uphold data security practices as PDPA rep
- Minute taking for meetings
**5. Self-development**
- Attend CPH endorsed training/workshops/seminars so as to develop relevant knowledge and skills
**Requirements**:
**1. Educational qualifications**
- A minimum educational qualification of Diploma from a recognised institution
**2. Experience**
- Proficient in Microsoft office skills, especially Excel
- (preferred) At least 2 years of relevant work experience
- (preferred) Experience in the social service sector
**3. Other qualities**
- Strong interpersonal and communication skills
- Confidentiality/discretion towards sensitive and/or confidential information
- Meticulous and organised
- Analytical and resourceful
- Proactive and able to work independently
- Good teamwork
- Tech-savvy
