Provide a full range of administrative and clerical support to WM Singapore Relationship Center (sub-markets SEA, GSA, NA)

**Your key responsibilities**:
1. On‐boarding of new joiners (For GSA, SEA, NA - All RMs, SAs, IMs)
- Liaise with Business and relevant parties on on‐boarding of new joiners;
- Requisition of hardware, staff access, phone extension, voice recording, allocation of seats, etc.

2. Off‐boarding of leavers (For GSA, SEA, NA - All RMs, SAs, IMs)
- Liaise with Business and relevant parties on off‐boarding of leavers;
- Removal of staff pass, medical card, corporate handset, terminate AMEX card, etc.

3. Business trip arrangements.
- Pre‐Trip: Hotel and Air ticket bookings;
- Arrange restaurant and meeting room reservations for overseas business trips.

4. Prepare expense claim reports in Concur for RMs, IMs, SAs.
- Check & chase for receipts VS AMEX statement;
- Check & chase for supporting documents ‐ Accuracy between pre‐trip approval and post trip, accuracy between the pre‐meal approval and actual meal;
- Input into Concur system;
- Scan & attach in Concur system, submit to approve, and monitor the claims status.

5. AMEX
- Track any outstanding AMEX balances; track leavers on non‐settlement.

6. Order and send gifts to clients. E.g. Moon cake gifts, Christmas hampers, Chinese New Year hampers, Birthday gifts

7. Arrange courier services, meeting room reservations, lunch/dinner reservation for RMs.

8. Assist to print, scan, photocopy, bind, file marketing materials, client and other related documents.

9. Stationery
- Procurement of stationery and copier papers;
- Handle delivery, storage, stock‐take.

10. Account Opening documents
- Procurement account opening documents;
- Handle delivery, storage, stock‐take.

11. Order/ Replenish business name cards (For GSA, SEA, NA - All RMs, SAs, IMs)
- New name cards for new joiners, replenish name cards for existing employees, track vendor delivery and distribution to users.
- Backup for OM for non-RC employees.

**Your skills and experience**:

- Minimum 3-5 years’ administrative experience in a similar role in Wealth Management environment or Financial Services Industry.
- Previous experience with management of expense claims using Concur.
- Familiar with MS Office suite.
- Excellent oral and written English communication skills, demonstrating a passion for quality and attention to detail.
- Good organizational skills and the ability to prioritize work flow, demonstrating flexibility when handling multiple tasks.
- Able to work in a dynamic environment
