Procurement clerks are responsible for sourcing and purchasing the materials, supplies, equipment, and services that their company needs to operate. They commonly work with vendors, suppliers, and other third-party service providers to ensure that they’re getting the best possible value on everything from office supplies to heavy machinery.
Procurement clerks may also be tasked with tracking inventory levels, managing vendor relationships, and ensuring compliance with relevant laws and regulations.
Procurement Clerk Job Duties
Procurement clerks have a wide range of responsibilities, which can include:
Reviewing proposals to ensure that they are complete, accurate, and within legal requirements
Recording information about bids, including the date of receipt, amount bid, and name of bidder
Determining whether bids are within budget limits, by calculating the cost of materials, labor, equipment, and other costs involved in the project
Preparing purchase orders for goods or services being purchased by the company
Communicating with vendors regarding order status, payment issues, delivery schedules, problems with shipping or quality of goods, etc.
Coordinating with other departments within the organization regarding the status of orders, including department heads, shipping companies, customer service representatives, and accounting staff
Keeping records of all transactions related to purchasing activities, including invoice numbers, dates of purchase, items purchased, prices paid, and terms of sale
Preparing reports on purchase activity for management review
Matching purchase orders with invoices and other documentation to ensure that all purchases have been recorded correctly
