Our client is a Japanese Financial Service company, that is currently looking for an Admin Executive (Japanese Speaking).
This role is a 1 Year contract position to support their HQ in Japan and their subsidiary companies.
Reporting to: Regional Management Manager
【What you will be working on】
・Administration & Support (Regional Management)
- Prepare and submit documents to various authorities, acquisition of signatures from relevant internal and external parties, clerical work such as mailing and circulating documents, etc.
- Set up meetings between various participants (adjustment of schedules between related parties, setting up meetings on schedulers such as TEAMS, etc.),
- Preparation of itinerary for overseas business trips, flight and hotel search, car arrangement, souvenir arrangement, etc.
- Liaising with general affairs representatives from their subsidiary companies(i.e., reminders to local members about report submission, summarizing expenses during business trips).
- Create an administrative manual to support the above administrative functions
- Conduct research on matters such as regular confirmation of visas and regulations related to entry and departure on the website of the Japanese embassy in each country, regular confirmation of flight information for each country, etc.

・ Administrative support (Planning)
- Providing support for meetings such as Board Meetings, etc. including scheduling, meal arrangements, party venue arrangements, conference room setup, and business traveler assistance.

・ Administration/Support (Admin)
- Support for dealing with vendors and employees when the Admin staff is absent, such as flight arrangements and hotel reservations, changes, and cancellations for the staff.

- Bachelor Degree Holder
- A minimum of three years of experience in a similar job. (Admin, secretary, or other supporting duties)
- Fluency in both Japanese and English (JLPT N2) to communicate with Japanese Native counterparts
- Basic Microsoft Office skills (Word, Excel, Outlook)
- Good interpersonal skills
- Efficient and adept at managing time and deadlines
- Willingness to learn and adapt to a new environment
- Capable in multitasking
