Senior Executive, Medical Record Office(6402)

The Executive/ Snr Executive manages MRO operations related to medical records and reports; to also oversee operations of the assigned working units, provide leadership and manage resources to ensure consistently high standard of work quality and output from the various working units. The Executive/ Snr Executive is to also ensure the staff are meeting KPI, manage new initiative of transforming the medical report request into a digital platform enabling patient to request report online.
**Duties and Responsibilities**
**Management of Department Operation**
- Overall responsible for ensuring that the functions of MRO’s core processes are met operationally and service quality objectives are met.
- Plan, organize and manage the daily activities and workload for assigned working units to meet the standards set by the Hospital and regulatory agencies.
- Responsible for correcting service problems promptly to deliver safe, seamless, efficient services to all service areas through constant tracking of key performance indicators.
- Key Performance Measures _include improve turnaround time for completion of medical reports, timely scanning of paper medical records and uploading of scanned images into system and timely project/task completion.
**Process Management**
- Assist the Manager to implement initiatives that can improve operational efficiencies and effectiveness.
- Upkeep and maintain MRO’s procedures and work instructions and ensure that the work processes clearly documented and consistently adhered to.
- Constantly seeking ways and continual review of processes to surpass customer’s expectations and add value to customers by working closely with department manager.
- Key Performance Measures _include percentage of good staff
(A*, A, B), employee climate survey, buddy report
**Quality Management**
- Review department’s Key performance indicators and implement department action plan.
- Constantly review workflows, systems and procedures to detect areas for improvements to meet department’s KPI.
- Ensure company’s missions, values and policies as well as department action plans are effectively conveyed to staff and carried out.
- Address any inefficiencies that are not in the interests of Medical Records Office and Customer by suggesting ways for improvement.
- Ensure documented procedures and standards are updated to ensure relevancy and quality.
- Key Performance Measures _include number of justified complaints and number of compliments, projects undertaken with positive outcomes.
**People Management**
- Manage and motivate staff to ensure successful implementation of plans and achievement of targets.
- Provide clear goals and directions for the assigned working units within MRO.
- Participate in hospital events & projects. Motivate and encourage staff to do the same.
- Build strong rapport and lead each working units for participation.
- Guide, orientate and manage staff behaviors that benefit department as a whole.
- Set performance targets and provide feedback to staff on their performance regularly.
**Key Performance Measures **include percentage of good staff.

- Prepare and submit monthly workload and performance report for Medical Records Office
- Assist in putting up approval paper for equipment/renovation/purchase requisition etc.
- Active participation in within/cross department process improvement projects to create value to the customer/patient.
- Any other tasks assigned.
**Job Specification**
- Degree in any discipline, preferably in Health Information Management
- Preferably 4 years working experience, preferably in healthcare operations, logistics, process improvement and staff supervision.
- Experience in hospital operations and managing large teams will be advantageous.Must be service oriented and customer focused.
- Able to work in a fast-paced environment and work with staff from all levels.
- Good communication, interpersonal & presentation skills.
- Must be possess a high level of adaptability and positive work attitude.
- Intermediate to Advanced skills in Microsoft Excel.
