**Roles & Responsibilities**
**Accounts Assistant**
**1.0** **SUMMARY**
Daily Sales order management and processing, including basic customer service support, clerical duties and daily routines support to the accounting and finance department.
And preparation of sales analysis report.
**2.0** **SCOPE**
2.1 E-mail management of incoming Sales order, handles phone-in and fax orders
2.2 Prepares SALES ORDER (SO), DELIVERY ORDER (DO) and SALES INVOICE (SI) in MS NAV system.
2.3 Ensures correct item price while issuing Sales Orders, Delivery Order and Sales Invoices
2.4 Liaise with Customers/ internal Production team/ Purchasing department/ Logistics team; stock availability, delivery details, and other order requirements
2.5 Review requests for; and process credit memos for Sales invoice adjustments/ product returns
2.6 Maintain files and records
2.7 Clerical duties Accounts and Finance _may_ assign including:

- Sending of Customer Statement of Account
- Monitoring of collection
- Receivable claim processing

Accounts Payable_**
- Cheque payment processing
2.8 Participates in quarterly stock take, if assigned.
2.9 Other ad-hoc duties that maybe assigned.
2.10 Prepare accurate sales analysis reports using data from internal and external sources.
**3.0** **QUALIFICATIONS**
3.1 Proficient in MS Office specifically in MS excel
3.2 Preferably with MS NAV/365 Business Central software knowledge or similar
3.3 Able to work methodically, accurately and neatly
3.4 Able to work under pressure
3.5 Must be organized and know how to prioritize task
3.6 Able to work as part of a multi-national and multi-cultural team
3.7 With professional verbal and written communication skills
3.8 Strong work ethic
3.9 With initiative
3.10 Punctual & with history of excellent attendance, willing to do shifting hours _(earliest 6:30am)_ and 5.5 days’ work week
3.11 Neat personal appearance
