The Administrative Assistant - Onboarding Support is essential in aiding our recruitment team through the onboarding process of new hires (healthcare professionals under work permit / S-Pass, and live-in caregivers under Foreign Domestic Worker workpass), focusing on administrative support, coordination tasks, and digital documentation management. This role involves direct involvement in the preparation of employment paperwork, liaison between employers, employees, and overseas partners, arranging travel, organizing medical screenings, and assisting with Ministry of Manpower (MOM) formalities. The aim is to ensure an organized and efficient onboarding experience for healthcare professionals and employers, and live-in caregivers and the households.
**Responsibilities**:
- **Administrative Support**:Assist with the preparation and processing of all employment-related documentation to ensure a smooth onboarding process.
- **Communication and Coordination**:Serve as a liaison among new hires, employers, and foreign partners to facilitate clear and effective communication.
- **Travel Arrangements**:Help arrange air travel for incoming hires, coordinating logistics to ensure a seamless arrival (if required).
- **Medical Appointment Scheduling**:Schedule medical examinations for new hires, following up to ensure compliance with employment health requirements.
- **Assistance with MOM Formalities**:Support the coordination of necessary appointments and documentation for MOM-related processes.
- **Record Keeping**:Maintain and manage digital records of all onboarding-related activities, ensuring accuracy and confidentiality.
- **Technical Support**:Utilize proficient computer skills to support the recruitment team with reports, and other onboarding materials.
**Requirements**:
- **Educational Background**:Minimum of GCE A-level or equivalent
- **Experience**:Previous experience in an administrative or support role is preferred, especially with a background in HR support, coordination, or similar fields. Experience in handling documentation and formalities for foreign workers in Singapore will be an advantage.
- **Skills**:Strong computer literacy, including proficiency in MS Office Suite and the ability to quickly learn new software. Excellent organizational skills, attention to detail, and the ability to multitask effectively.
- **Personal Qualities**:A proactive team player who is adaptable and able to work efficiently in a dynamic environment. Strong communication skills and a commitment to providing high-quality support are essential.
This position is designed for someone who can offer efficient and effective administrative support, ensuring that the onboarding process for new hires is conducted smoothly, compliantly, and with a high level of organization.
