A*STAR directs and undertakes mission-oriented research to transform Singapore into a knowledge-based and innovation-driven economy. A*STAR’s Planning Directorate coordinates A*STAR’s strategic planning and corporate planning activities, and is the key interface with A*STAR senior management and other public sector agencies on strategic planning matters within and beyond A*STAR.

The responsibilities of the officer include, but is not limited to, the following:

  • Providing secretarial, administrative and logístical support for corporate meetings (e.g. scheduling of meetings, collation of materials, venue setup, preparation of the agenda of meetings, tracking of matters arising from meetings etc.)
  • Coordinating with internal and external stakeholders on various meeting platforms
  • Facilitating the conduct of meetings
  • Assisting in knowledge management process via housekeeping and archiving of documentation pertaining to meeting slides and record of decisions
  • Assisting in event planning and management of events (e.g. Townhalls, Leadership retreats)
  • Assisting in scheduling of meetings for Director(s) and overall admin for divisions
  • Covering PA to Assistant CE as/when necessary
  • Assisting with coordination and collation of work between HQ and Research Institutes regarding requests for information
  • Liaising with various divisions to triage services and support to stakeholders

Job requirements

  • At least 3 years of administrative experience preferred
  • Pro-active, quality conscious, attentive to details and results-oriented
  • High learning agility and adaptability to changing business needs of the organisation and department
  • Proficient in online meeting platforms such as MS Teams, Zoom, Webex
  • Good communication (written and verbal) and interpersonal skills
  • Basic minute writing skills
  • Adept at performing information archival and knowledge management (e.g., for department’s content and record of decisions)
