Reporting to the Head of Operations, this position will be accountable for Sourcing, Vendor and Contract Management of both 3rd party vendor and internal (Business Unit to Business Unit) contracts.

This includes tasks and activities relating to contracting strategy, contract set up and the ongoing management and administration of contracts to drive increased value from vendors and a reduction in risk.

**Roles and Responsibilities**

**Sourcing**
- Develop Sourcing Policy and Procedures for the business, aligning with Group Office Sourcing direction.
- Draft and communicate Sourcing Policy and Procedures to ExCo and staff, provide guidance to staff members to ensure compliance and adherence to the Sourcing Policy and Procedures.
- Develop a yearly budget depending on sourcing needs
- Build relationships with vendors and key suppliers, negotiate pricing and control costs
- Execute analyses and make suggestions for improvement of overall sourcing strategy
- Adhere to all relevant guidelines and applicable regulations

**Vendor and Contract Management**
- Develop Contract Management Guidelines including associated process flows for all new and existing contracts, aligning with AIA Group’s standards and policies.
- Other key responsibilities include:Advise on overall contracting strategy to meet business objectives;
Lead contract negotiations with external vendors - including coordination of internal cross functional teams;
Lead the renewal and updates for third-party and AIA Intra-Group master services agreements and statements for work;
Contract reviews;
Contract drafting;
Develop contract documents such as contract templates;
Vendor evaluation during the competitive bidding process
Contract execution;
Commercial and Contractual risk identification and management
Contract change management;
Correspond with vendors in regards relationship and contract matters;
Form strong relationships and drive adherence to process and policies with cross functional teams and Business Units in both pre-contract and post contract activities;
Manage contract renewals and terminations;
Advise stakeholders on contract questions and interpretation;
Coordinate and participate in Governance and Review Meetings;
Dispute management and resolution;
- Manage the administration and database of legal contracts to ensure legal contracts are available and up-to-date
- Drive automation / self-service of processes by selecting / developing / implementing tools as appropriate across the full life cycle of the sourcing, vendor and contract management process.

**Financial and Non-Financial Measures**

In accordance with developed objectives as mutually agreed, the major elements would be as follows:

- Drafting, review and finalisation of key policies required for sourcing and vendor and contract management.
- Accuracy, completeness, and timeliness of legal contract review and administration
- Renewal of contracts in a timely manner - i.e., prior to expiry Feedback from key account stakeholders
- Productivity excellence - enhancement and improvement in the systems, processes and individual work areas required.

**Communication Requirements**

Internal within AH:

- The majority of communications internally will be of an advisory nature to service owners who require new contracts or renewal of existing contracts.
- Other key stakeholders include AH Legal, Group Legal, Group Sourcing and local country service recipients - a collaborative communication style is expected with each.
- When required, advice and guidance from a contractual perspective may be provided to Heads of Departments.

External including AIA Group of companies and DSY Group of companies and other parties, including:

- Negotiations and document drafting and reviews with external vendors
- Ability to build good relationships with external vendors

**Job Requirements**
- Education:University Degree in a Business administration, financial or other relevant discipline
- Experience:Minimum 10 years of relevant working experience
Experience in a vendor or contract management or Procurement function, preferably in the IT sector
Experience in the insurance industry is a plus
- Special skills:Strong communication and interpersonal skills to deal with local and group personnel at various levels including EXCO and Board members
Ability to work in dynamic environment
