Assist in managing incoming leads and inquiries, ensuring prompt response and proper routing to the appropriate sales representatives.
- Provide administrative assistance to the sales team, including data entry, scheduling meetings, maintaining calendars, and preparing sales-related documentation.
- Assist in creating and formatting maintenance proposals, including assembling necessary documentation, cost estimates, and service details.
- Maintain accurate and up-to-date records of sales activities, customer interactions, and project details using CRM software or other tools.
- Liaise with clients to schedule appointments, gather information, and relay important details between clients and the sales team.
- Generate regular sales reports, performance metrics, and activity summaries for the sales team and management.
- Work closely with internal departments such as engineering, operations, and finance to coordinate project handovers, invoicing, and other operational aspects.
- Develop a basic understanding of ACMV systems and maintenance processes to facilitate effective communication with clients and internal teams.
- Cultivate positive relationships with clients by providing excellent service and demonstrating responsiveness to their needs.
- Maintain and update the customer database, ensuring accuracy of contact information, interactions, and project statuses.
- Assist the sales team with various ad hoc tasks, such as market research, competitor analysis, and preparing materials for client presentations.
- Any adhoc duties as assigned by supervisor.

**Job Requirement**:

- Diploma or equivalent in Engineering or Business Administration.
- Previous experience in an administrative or sales support role is preferred. Experience in the HVAC or maintenance industry is advantageous.
- Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines.
- Excellent written and verbal communication skills for effective interaction with clients and internal teams.
- Meticulous attention to detail when handling documentation, data entry, and client communication.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software. Ability to learn new software tools quickly.
- A customer-focused mindset with a willingness to assist and support clients throughout the sales process.
- Resourcefulness in finding solutions to challenges that arise during the sales support process.
- Ability to collaborate effectively with cross-functional teams and adapt to changing requirements.
- Openness to learning about ACMV systems and the HVAC industry to enhance support to the sales team.
