**Position Summary:
The PMO role will be responsible to track the IT projects for Cluster/Cross Cluster IT projects. Ensuring timely reporting at various platforms (institution IT Steering Committee & Cluster IT Steering Committee). He/She will be responsible for providing guidance and liaising with the project teams to route approval documents within Institution. Be familiar with NUHS Procurement policy so as to provide guidance to Project Manager on the process. It also includes monitoring the renewal of existing contract, reporting status and escalating to keys stakeholders where necessary.
Participate in the yearly budget cycle in consolidating all workplan submissions from various departments. Facilitate institution review sessions with key stakeholders for the assessment and priorisation of the submitted workplans. Tight handshake with Cluster GITO PMO for the purpose of consolidation of institution specific workplans during yearly budget cycle and timely tracking with updates via GITO Master Workplan tracker for institution and cluster reporting.
This role is also required to work closely with internal stakeholders including Institution Finance, Corporate Planning, CIOO Business Finance, IT teams, business users, and cluster CIO Office to assist in the tracking and reporting of projects progress, schedules, and budget utilisation.
**Roles and Responsibilities
- Continuous up-keep of GITO Master Workplan Tracker for institution specific workplans.
- Playing the PMO support role to the assigned Program Centre Lead / Co-Lead.
- Ensure timeliness in the tracking, monitoring and project status updating, including allocated projects’ budget.
- Close partnership with Institution Business Finance in collating inputs on the utilisation for reporting purpose for Institution CIO and IT Steering Committee.
- Work closely with Project Managers in tracking of projects meeting schedules, budget, manpower and technical quality targets as necessary.
- Guiding project Managers or institution users on the process of raising unbudgeted CAPEX (if any) and liaising with Institution Finance (where necessary).
- Provide monthly reminders to all contract owner of the upcoming renewal cycle and quarterly report to Management on renewal status.
- Review all workplan submissions and liaise with respective stakeholders to ensure required details are furnished. Compile, collate and prepare for review and priorisation at institute IT steering committee.
- Work closely with institution Corporate Planning and project team in managing the assessment and review of the submitted workplans.
- Facilitate the issuance of IO code from Cluster/Institution Finance/Corporate Planning to Synapxe Project Managers.
- Working with Institution Finance in determining the correct Cost Centre for the Approved workplans.
**Requirements / Qualifications**
- Degree in Engineering, Computer Science or Equivalent
- At least 3 - 4 years of Project Management experience.
- Has experience in user management, vendor management.
- A team player, highly motivated to builds relationships with cross-functional team members, stakeholders, and others in the organization who have impact in the projects.
- Strong written and verbal communication; able to communicate effectively at all levels and able to clearly articulate and align IT and business benefits and values.
- Able to multi-task.
- Efficiency in MS Excel and MS Word.
- Experience in PMO role is an added advantage.
